Graphical Indicators dialog box

Use the Graphical Indicators dialog box to specify criteria for displaying graphical indicators in place of actual data values. In this dialog box, you can specify the test, values, and image to be used.

Dialog box location

On the Tools menu, point to Customize, and then click Fields. Click the Graphical Indicators button.

Details

Options and check boxes

Nonsummary rows     Select to display or set the criteria and indicator images that will be applied to nonsummary task and grouping rows. This is the default.

Summary rows     Select to display or set the criteria and indicator images that will be applied to summary task and grouping summary rows.

Summary rows inherit criteria from nonsummary rows     Select to specify that summary rows use the same criteria and indicator images as their component rows. To specify different criteria and indicators for summary rows than for nonsummary rows, clear this check box, and then enter the criteria and indicator images specific to summary rows in the indicator criteria table. This check box becomes available when you select Summary rows.

Project summary    Select to display or set the criteria and indicator images that will be applied to the project summary task row.

Project summary inherits criteria from summary rows     Select to specify that the project summary row should use the same criteria and indicator images as other summary rows. To specify different criteria and indicators for the project summary row, clear this check box, and then enter the criteria and indicator images specific to only the project summary task. This check box becomes available when you select Project summary.

Show data values in ToolTips    Select to display data values in a ToolTip for fields that have graphical indicators. To display a ToolTip, hover over the field. By default, this check box is selected.

Command buttons

Cut Row    Click to remove the selected criterion row from the list and move it to the Clipboard.

Copy Row    Click to duplicate the selected criterion row to the Clipboard.

Paste Row    Click to insert the the criterion row on the Clipboard to the row above the selected row.

Insert Row    Click to add a blank row above the selected criterion row.

Delete Row    Click to remove and discard the selected criterion row.

Move     Click the up  button image and down  button image arrows to move an item higher or lower in the list. Tests are applied in the order listed, and processing stops at the first successful test, so the position in the list often determines which indicator image is displayed.

Import Indicator Criteria     Click to import indicator criteria from another project or another field in this project.

Indicator criteria table

Details the test and values that the contents of the selected custom field should be compared against. For those field values that pass the test, the specified graphical indicator is displayed in place of actual data values. Tests are applied in the order listed, and processing stops at the first successful test.

Test for field

Test for     Type a test, or click one from the list. Microsoft Office Project uses the test to compare the values you type in the Value(s) box with the contents of the selected custom field. Project informs you if a test is not valid for the field you have selected. Choose one of the following tests:

equals     An exact match between the contents of the selected custom field and the value in the Value(s) field. The field may not contain any values other than the matched value.

does not equal     Anything but an exact match between the contents of the selected custom field and the value in the Value(s) field.

is greater than     Any value in the contents of the selected custom field that is greater than the value in the Value(s) field.

is greater than or equal to     Any value in the contents of the selected custom field that is greater than or equal to the value in the Value(s) field.

is less than     Any value in the contents of the selected custom field that is less than the value in the Value(s) field.

is less than or equal to     Any value in the contents of the selected custom field that is less than or equal to the value in the Value(s) field.

is within     Any value in the contents of the selected custom field that falls within the range specified by the two values in the Value(s) field.

is not within     Any value in the contents of the selected custom field that falls outside of the range specified by the two values in the Value(s) field.

contains     Any value in the contents of the selected custom field that contains the value specified in the Value(s) field.

does not contain     Any value in the contents of the selected custom field that does not contain the value in the Value(s) field.

contains exactly     Any value in the contents of the selected custom field that contains a task or resource that exactly matches the value. This is different from the equals test because the contains exactly test can operate on fields such as Resource Names or Predecessors, which can list multiple values at once.

is any value     Any value in the contents of the selected custom field. This essentially causes the graphical indicator to be displayed for all fields, so this test is normally placed last in the list to display an indicator for all values that do not meet any of the other tests.

Value(s) field

Enter the numbers, dates, or text that the field contents are to be tested against. You can also click a field from the list to compare its contents with the contents of the custom field. Values must match the type of field they are being tested against. For example, if you have selected Cost for the field name, you cannot use Finish Date in the Value(s) field. When inappropriate values are entered in the Value(s) field, Microsoft Office Project displays a message when you attempt to close the dialog box.

To indicate a range for the is within or is not within test, separate the values with the list-separator character. For example, if you have selected is within for the Test column, you can find tasks that fall within two dates by typing

1/1/00,2/1/00

For text custom fields, you can use wildcards as part of the value when the test is equals or does not equal. The question mark (?) wildcard and the asterisk (*) wildcard can appear anywhere in the text.

If you want to test for a value using a character reserved for use as a wildcard, type a caret (^) in front of the character. For example, to filter for tasks that include an asterisk in their name, type ^*.

Image field

Click the image you want to display when the field meets the criteria you've specified. From this list, you can select from bubbles, boxes, flags, check marks, dashes, plus signs, diamonds, arrows, and other symbols.
