Create and submit a timesheet on behalf of someone else
You can create and submit a timesheet on behalf of someone who works for or with you. This is called a surrogate timesheet, and it can be helpful when a team member is out of the office during the period when timesheets are due.
Note: You must have permission to create and submit surrogate timesheets. In addition, you can create timesheets only for the resources whom you manage, as set up in your organization's resource breakdown structure (RBS).
Create a surrogate timesheet
-
On the Quick Launch, under My Work, click Timesheet Center.
-
Click Surrogate Timesheet.
-
On the Timesheet Surrogate page, type the name of the timesheet owner in the Resource Name box. This is the name of the person whose timesheet you are creating and submitting.
Alternatively, click Browse to search from a list of Microsoft Office Project users for whom you have permission to create a surrogate timesheet.
-
In the Timesheet Type section, specify the type of timesheet that you want to create:
-
Create with Default Setting Click to create the new timesheet with the default settings identified by your server administrator. This can include tasks, projects, and nonproject tasks.
-
Create with Tasks Click to create the new timesheet with all of the resource's task assignments for the selected reporting period.
-
Create with Projects Click to create the new timesheet with all of the resource's allocated projects for the selected reporting period.
-
Do not Auto-populate Click to create your new timesheet without any lines. To report the resource's time, you need to manually add lines to the timesheet.
-
-
In the Timesheet Period section, select the appropriate timesheet period from the Select Period list.
-
Click Create Timesheet.
The timesheet is added to your Timesheet Center page and will be listed there until you submit it.
Submit a surrogate timesheet you already created
You can edit and save surrogate timesheets and then update them during the reporting period, just as you do with any other timesheet. When you are editing a timesheet, click Save to save the timesheet you created without submitting it. Click Save and Submit to save the timesheet and submit it to the manager for approval.
-
On the Quick Launch, under My Work, click Timesheet Center.
-
Select Created and in progress from the list of views on the right side of the toolbar.
-
Click the name of the surrogate timesheet in the Timesheet Name column. All of the timesheets you have created and saved are listed.
-
On the My Timesheet page, enter any additional time for the resource.
-
Click Save and Submit to save the timesheet and submit it to the manager for approval.
After you submit a surrogate timesheet to the resource's manager, you can no longer modify the timesheet, and ownership is handed over to the resource.
Why can't I perform some actions in Microsoft Office Project Web Access?
Depending on the permissions settings you used to log on to Project Web Access, you may not be able to see or use certain features. Also, what you see on some pages may differ from what is documented if your server administrator customized Project Web Access and did not customize the Help to match.
