The following are the buttons and other options in the Print dialog box:

  • Name      In the list, choose a printer that you've installed and want to use.

  • Status      For the selected printer, gives the printer status, such as idle, busy, or the number of files in line to print before your print job.

  • Type      For the selected printer, gives the type of printer, such as a laser, that you selected.

  • Where      For the selected printer, gives the location of the printer or identifies which port that the printer is connected to.

  • Comment      For the selected printer, gives any additional information that you might need to know about the printer.

  • Properties      Choose this button when you want to change the properties, such as paper type, for the printer that you're using.

  • Find Printer      Choose this button to find a printer that you have access to.

  • Print to file      Select this check box to create a file from the document instead of routing it directly to a printer. The file is saved with print formatting, such as font selection and color specification, in a file that can be printed to another printer.

  • Number of copies      In this list, choose the number of copies that you want printed.

  • Collate      Select this check box if you want your print job to be kept in the order that you created in your document when printed. This check box is available if you're printing multiple copies.

  • Selection      Choose this option to print only what you've selected.

  • Active sheet(s)      Choose this option to print only the active worksheets.

  • Entire workbook      Choose this option to print the entire workbook, including all the worksheets in the workbook.

  • Table      Choose this option to print only the table in the worksheet.

  • Ignore print areas      Select this check box to ignore any print areas that you might have specified.

  • All      Choose this option if you want to print all pages in your file.

  • Pages      Choose this option and add the page numbers or page ranges in the box.

  • Preview      Choose this button to preview your worksheet before printing it and to select other printing options, such as page setup.

  • OK      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

  • Print attached files. Attachments will print to the default printer only.      Select this check box to print files that are attached to your Outlook items.

  • Table Style      In the Print style list, choose the style that you want your Outlook item printed in.

  • Memo Style      In the Print style list, choose the style that you want your Outlook item printed in.

  • Page Setup      Choose this button to set other printer and paper options.

  • Define Styles      Choose this option to define the styles used when printing your Outlook items.

  • OK      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

PowerPoint

The following are the buttons and other options in the Print dialog box:

  • Name      In the list, choose a printer that you've installed and want to use.

  • Order      Choose either Horizontal or Vertical to organize your slides on the printer page.

  • Scale to fit paper      Select this check box to print your slides on the paper selected for your printer.

  • Frame slides      Select this check box to print a thin border around your slides.

  • Print comments and ink markup      Select this check box to print comments and ink markup.

  • Print hidden slides      Select this check box to include any slides that you've hidden in the print job.

  • High quality      Select this check box is you want to print shadows on your text or images.

  • Color/grayscale      In this list, choose if you want to print in grayscale, color, or pure black and white.

  • Print what      In this list, choose the elements that you want printed.

  • All      Choose this option if you want to print all pages in your file.

  • Custom Show      Choose this option to print only a specific custom show — a grouping of slides from within the main show.

  • Slides      Choose this option and add the page numbers or page ranges in the box.

  • Current slide      Choose this option to print only the slide that is currently selected.

  • Selection      Choose this option to print only the slides that you selected.

  • All      Choose this option if you want to print all pages in your file.

  • Preview      Choose this button to preview your slides before printing them and select other printing options, such as page setup.

  • OK      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

Publisher

The following are the buttons and other options in the Print dialog box:

Publication and Paper Settings tab

  • Printer Name      In the list, choose a printer that you've installed and want to use.

  • Properties      Choose this button when you want to change the properties, such as paper type, for the printer that you're using.

  • Print to file      Select this check box to create a file from the document instead of routing it directly to a printer. The file is saved with print formatting, such as font selection and color specification, in a file that can be printed to another printer.

  • Printing options      Choose the option for how to print your file.

  • Show paper after printing      Under Preview, choose this option to see a thumbnail view of your file.

  • Show how to insert paper      Under Preview, choose this option to see how to insert paper to use two-sided printing.

  • Number of copies      Under Copies, choose the number of copies that you want printed.

  • Collate      Under Copies, select this check box if you want your print job to be kept in the order that you created in your document when printed. This check box is available if you are printing multiple copies.

  • 2-sided printing options      Choose this option for how you want to print your two-sided printout.

  • All pages      Under Page range, choose this option if you want to print all pages in your file.

  • Current page      Under Page range, choose this option to print only the pages that are currently selected.

  • Pages      Under Page range, choose this option and add the page numbers or page ranges in the box.

  • Size      Under Paper, choose the paper size you want to use.

  • Source      Under Paper, choose the source of the paper you want to use.

  • Orientation      Choose the option for how you want to print your file.

  • Print Preview      Choose this button to see a preview of your file.

  • Print      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

Printer details

  • Printer Name      In the list, choose a printer that you've installed and want to see details. The details appear under Status, Type, Where, Comment, Features, and Printable region.

  • Properties      Choose this button when you want to change the properties, such as paper type, for the printer that you're using.

  • Find Printer      Choose this button to find a printer that you have access to.

  • Advanced Printer Setup      Choose this button when you want to change the settings for separations, page setup, graphics, fonts, and to set up two-sided printouts.

  • Print Preview      Choose this button to see a preview of your file.

  • Print      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

Visio

The following are the buttons and other options in the Print dialog box:

  • Name      In the list, choose a printer that you've installed and want to use.

  • No Background      Select this check box to not print a background that you might have on your Visio pages.

  • Print to file      Select this check box to create a file from the document instead of routing it directly to a printer. The file is saved with print formatting, such as font selection and color specification, in a file that can be printed to another printer.

  • Number of copies      In this list, choose the number of copies that you want printed.

  • All      Choose this option if you want to print all pages in your file.

  • Current page      Choose this option to print only the current page.

  • Pages      Choose this option and add the page numbers or page ranges in the box.

  • Selection      Choose this option to print only the shapes that are currently selected.

  • Current view      Choose this option to print only the current view.

  • Size to fit on one sheet      Select this check box when you want your file to print on one page.

  • OK      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.

  • Pages      Choose this option and add the page numbers or page ranges in the box.

  • Print what      In this list, choose the elements that you want printed.

  • Print      In this list, choose if you want to print all pages, odd pages, or even pages.

  • Options      Choose this button to go to more printing options in the Display category in the Word Options dialog box.

  • OK      Choose this button to send your document to the printer.

  • Cancel      Choose this button to go back to your document without printing it.
