Send a form in an e-mail message

You can send a Microsoft Office InfoPath 2007 form to other people in a Microsoft Office Outlook 2007 e-mail message. If you want recipients to be able to edit the form, you can choose to share an editable copy of it. If you simply want to share the form, but don't want people to edit the contents, you can send a read-only copy of the form instead.

To successfully complete the following procedures, you must be using Office Outlook 2007, and an e-mail account must be set up in your Outlook profile. In order for your e-mail recipients to edit the form that you send them, they must have Office Outlook 2007 and Office InfoPath 2007 installed on their computers.

Send an editable copy of the form

When you send an editable copy of a form in an e-mail message, the body of the message contains a read-only HTML view of the form. In addition, the InfoPath form (.xml file) itself is attached to the message so that users can open and work with the form directly in Outlook. Optionally, you can choose to also include the form template (.xsn file) as an attachment to the e-mail message.

  1. Open the form that you want to send.

  2. On the File menu, click Send to Mail Recipient.

  3. In the To and Cc boxes, enter recipient names, separated by semicolons.

  4. In the Subject box, type the subject of the message.

  5. In the Introduction box, type a message for your recipients.

  6. In the Mail Options task pane, select Editable form.

  7. To send the form template (.xsn file) along with the form, select the Include form template check box.

    Note: If this check box is unavailable, the form designer may have turned off the ability to attach the form template to the e-mail message.

  8. Click Send Button image .

Send a read-only copy of the form

If you want to quickly share a copy of your completed form with other people, but not allow them to edit the form, you can send it to them in an e-mail message. When you send a form in an e-mail message, the body of the message contains a read-only HTML view of the form. Neither the form (.xml file) nor the form template (.xsn file) is attached to the message.

  1. Open the form that you want to send.

  2. If the form includes multiple views, switch to the view you want to send.

  3. On the File menu, click Send to Mail Recipient.

  4. In the To and Cc boxes, enter recipient names, separated by semicolons.

  5. In the Subject box, type the subject of the message.

  6. In the Introduction box, type a message for your recipients.

  7. In the Mail Options task pane, select Read-only snapshot.

  8. Click Send Button image .
