Booking type fields

Description    The Booking Type field specifies whether a resource is considered committed or proposed. You can select whether proposed resources are to be included in resource availability graphs, resource leveling, and other resource-related operations. 

There are several categories of Booking Type fields.

Best Uses    Add the Booking Type field to the Task Usage view to see whether assigned resources are proposed or committed. No actual data appears in the task fields; only in the assignment fields.

Example    Most resources in your project are committed, but a few are proposed. You want to review all assignments and see which ones are assigned to proposed resources and which are assigned to committed resources. You add the Booking Type field to the Task Usage view.

Best Uses    Specify that a resource is proposed when you're estimating a proposed new project or a new phase of an existing project. Entering proposed resources can help you forecast costs, availability, and scheduling for a new project or phase without tying up the proposed resource's availability. When the proposed project or phase is confirmed, you can then change the resource's booking type accordingly.

Use the proposed booking type when you want to use a specific resource but you need to find out whether the resource is available for your project. For example, you might need to obtain approval to borrow a resource from another department, or you might need to find out whether an outside consultant is available. Entering the resource as proposed can help you estimate scheduling and costs so you can provide concrete information about the proposed resource assignments.

You can sort, filter, or group by the Booking Type field. You can also review resource availability and level resources with or without proposed resources.

Example    You need to determine whether you currently have the resources and budget required to take on a new initiative. You set up a project and add actual resources from your organization's resource pool. Because you don't want to prevent those resources from being assigned to other projects in case you cannot take on this project, you add the Booking Type field to the Resource Sheet view, and set the booking type for all resources to Proposed.

Remarks    You can set the Booking Type for an individual resource using the Resource Information dialog box. Select the resource, and then click Resource Information Button image . Click the General tab, and then in the Booking Type box, select Committed or Proposed. By default, resources are committed.

Don't confuse the Booking Type field with the Confirmed field. The booking type specifies whether the resource is committed on the project or only tentatively proposed. The Confirmed field specifies whether the resource has responded to assignment messaging.

You assign proposed resources the same way you do committed resources. However, if you are using Microsoft Office Project, you cannot publish assignments for proposed resources to Microsoft Office Project Web Access. Note that work and remaining work values include proposed bookings as well as committed bookings.

How Calculated    The assignment Booking Type field is the same as the resource Booking Type field.

Best Uses    Add the Booking Type field to an assignment view when you have a mixture of proposed and committed resources assigned to tasks, and you want to review assignments by their booking type. You can sort, filter, or group assignments by the Booking Type field.

Example    You have 20 committed resources already set up in your project and assigned to tasks. You have also set up three additional team members as proposed resources. Although they're proposed instead of committed, you have already tentatively assigned tasks to them to help you plan the schedule and budget. You want to review all assignments and see which ones are assigned to proposed resources, and which are assigned to committed resources. You add the Booking Type field to the Task Usage view.

Remarks    Proposed bookings are done for resources as a whole, and not for individual assignments.

You can review the booking type for an individual resource using the Assignment Information dialog box. In the Task Usage or Resource Usage view, select the assignment, and then click Assignment Information Button image . Click the General tab, and then review the setting in the Booking Type box.

Don't confuse the Booking Type field with the Confirmed field. The booking type specifies whether the resource is committed on the project or only proposed. The Confirmed field specifies whether the resource has responded to assignment messaging.

You assign proposed resources the same as committed resources. However, if you are using Project Server, you cannot publish assignments for proposed resources to Project Web Access. Note that work and remaining work values include proposed bookings as well as committed bookings.

Options outlook web app version

The light version of Outlook Web App is designed for use with older web browsers that aren't supported by the standard version of Outlook Web App, for use over slow connections, and to meet accessibility needs by providing a simplified interface that's easier to use with screen readers.

The light version of Outlook Web App has fewer features than the standard version of Outlook Web App. For example, there are no separate controls to change the size of fonts. Instead, see the Windows accessibility website. This includes links to accessibility options for your operating system. For example, you can make everything on your screen bigger, increase the contrast, use the built-in narrator to read you what's on the screen, and more. This article is for Outlook Web App, which is used by organizations that manage email servers running Exchange Server 2013 or 2010. If you're using a supported browser, you can choose which version of Outlook Web App to use.

If you're in the light version of Outlook Web App:

  1. Go to Options in the upper corner and select Outlook Web App version in the navigation pane.

  2. Clear the Use the light version of Outlook Web App check box.

  3. Select Save.

  4. Sign out of the light version, close your browser, and sign back in using a supported browser. You might need to close all open browser windows before signing in again.

If you're using the standard version of Outlook Web App:

  1. In a web browser, sign in to Outlook Web App using the URL provided by the person who manages email for your organization. Enter your user name and password, and then select Sign in.

  2. At the top of the page, select Settings Settings: update your profile, install software and connect it to the cloud > Options > Display settings > Outlook Web App version.

  3. Select the Use the light version of Outlook Web App check box, and then select OK.

Add a legend to data graphics

Sometimes it looks better to remove the text labels from data graphics in your diagram, or use data graphics that are designed not to have labels. To show the meanings of the icon sets, colors, and data bars, add a data graphics legend to your diagram.

  1. On the Data tab, in the Display Data group, click the arrow next to Insert Legend.

  2. Click Horizontal or Vertical, depending on which direction you would like the legend to run.

The legend automatically shows data bars, icons, and color values that are in use on the current page. You can select and delete information that you don't need. For example, if the data bars already have labels on the page you can select them in the legend and delete them. You can also customize the legend in other ways, such as by changing text or adding new shapes.

Updating legends

Legends are not updated automatically – if you change something in the diagram, you have to insert a new legend to include the changes. However, if you have customized a legend and you want to keep the customized parts, you can replace the information that has changed.

  1. Move the customized legend to an empty space.

  2. Insert a new legend.

    You now have the old version and the new version available.

  3. Decide which version you want to keep.

  4. Drag parts you want from one version to the other, and then delete the version you don't want.

  5. Move your updated legend into place on the diagram.

Rename pages sections or notebooks in onenote for mac

In OneNote for the Mac, you can rename any of the pages, sections, or section groups in your notebook — or you can rename the entire notebook itself.

Rename a page

  1. Click in the page that you want to rename, or create a new page.

  2. Do either of the following:

    • On the menu bar, click Notebooks, point to Pages, and then click Rename Page.

    • Control-click the tab of the page you want to rename, and then click Rename on the menu that appears.

  3. When the page header text at the top of the page is selected, type the new name for the page, and then press Return.

Rename a section

  1. Click in the section that you want to rename.

  2. Do either of the following:

    • On the menu bar, click Notebooks, point to Sections, and then click Rename Section.

    • Control-click the tab of the section you want to rename, and then click Rename on the menu that appears.

  3. When the section tab text is selected, type the new name for the section, and then press Return.

Rename a section group

  1. Click the section group that you want to rename.

  2. Do either of the following:

    • On the menu bar, click Notebooks, point to Section Groups, and then click Rename.

    • Control-click the name of the section group that you want to rename, and then click Rename on the menu that appears.

  3. When the section group text is selected, type the new name for the section group, and then press Return.

Rename a notebook

To help prevent broken links by accidentally renaming notebooks that are shared with other people, you'll need to rename the notebook file at its source.

Caution: Don't rename Class and Staff Notebooks in OneDrive, including Class and Staff Notebooks created through Microsoft Teams. This will disrupt student access and proper functioning of these notebooks.

Caution: Before renaming notebooks that you have already shared with other people, consider giving the other notebook authors some amount of advance notice about your plans to rename the notebook they're working in. This way, the change does not unexpectedly prevent them from accessing important information in the shared notebook.

When you're ready to rename a notebook, do the following:

  1. First, you need to close the notebook. On the menu bar in OneNote, click Notebooks, point to Notebooks, and then click Close This Notebook.

  2. In Safari or in any other Web browser, go to www.onedrive.com. If necessary, sign in with the same Microsoft account or organizational account where the notebook you want to delete is currently stored.

  3. When you are successfully signed into OneDrive, navigate to the Documents folder for your account.

    Note: You might need to navigate to a different folder if the notebook was initially saved to a folder other than Documents.

  4. Move the mouse pointer over the notebook you want to rename, and then click to select the small circle that appears next to or in the upper right corner of the notebook icon.

    You'll see a small check mark in the circle next to the notebook.

    Click Rename on the OneDrive menu bar.

  5. When the notebook name is selected, type the new name for the notebook, and then press Return.

  6. On the same page, click the notebook icon to open the renamed notebook in OneNote for the web.

  7. In OneNote for the web, click the Open in OneNote button near the top of the page to open the renamed notebook in OneNote for Mac.

Change the programming language of a form template

A form template can only contain script or managed code that is written in one programming language. You can change the programming language of a form template by removing the original script or managed code, specifying a new programming language, rewriting the original script or managed code in the new programming language, and then adding the new script or managed code to the form template.

Note: InfoPath cannot convert existing script or managed code from one programming language to another programming language.

Overview

When you need to use script or managed code to add business logic to your form template, such as performing a complex calculation by using values that users enter into forms based on your form template, you can add your business logic by using one of several different programming languages, including C# or Microsoft Visual Basic. After you add script or managed code to your form template, any changes that you want to make, or any new script or managed code that you want to add to your form template must be written in the same programming language.

As your form template evolves to meet new business requirements, you may need to change the programming language used in your form template. For example, imagine the following situations:

  • Your company has a new policy that all Microsoft Windows programs and program extensions developed by your department use the C# programming language. The existing form templates used in your company were designed using the Visual Basic programming language. To comply with the new policy, you must convert all of the form templates so that they use the C# programming language.

  • You published a form template created in Microsoft Office InfoPath 2003 that has script written in JScript. Because Microsoft Office InfoPath 2007 allows your users to fill out forms based on a form template in a Web browser, you must convert this form template into a browser-enabled form template, and then publish it to a server running InfoPath Forms Services. However, InfoPath Forms Services can only display form templates with managed code assemblies; you cannot publish a form template that contains script to a server running InfoPath Forms Services. You must convert the script into a managed code assembly so that you can publish the form template to a server running InfoPath Forms Services.

  • You are responsible for maintaining several form templates that you did not design. These form templates contain scripts written in JScript. Although you can read and write scripts written in JScript, you are much more proficient at writing scripts using the Microsoft Visual Basic Scripting Edition (VBScript) programming language. Because you will be maintaining these form templates, it will be much more efficient if the script was written in VBScript, so you decide to replace the existing scripts written in JScript with scripts written by using VBScript.

If you need to change the programming language used in an existing form template, you must first remove the existing script or managed code from the form template, and then you specify the new programming language for the form template. Once you change the programming language in the form template, you can rewrite the script or managed code in the new language, using the Microsoft Script Editor or Microsoft Visual Studio Tools for Applications, and then you add the new script to your form template.

Change the programming language of a form template

Before you change the programming language of a form template, you may want to save a copy of the original source code in a text editor, such as Microsoft Notepad, in case you need to refer to it or use the original code.

Save the original source code

  1. Open your form template in design mode.

  2. On the Tools menu, point to Programming, and then do one of the following:

    • If your form template contains script, click Microsoft Script Editor.

    • If your form template contains managed code, click Microsoft Visual Studio Tools for Applications.

  3. On the Edit menu of the Microsoft Script Editor or Microsoft Visual Studio Tools for Applications, click Select All.

  4. On the Edit menu, click Copy.

  5. Paste the code you copied to a text editor, such as Notepad.

  6. Save the text editor file.

Change the programming language of the form template

  1. On the Tools menu, click Form Options.

  2. Under Category in the Form Options dialog box, click Programming.

  3. Under Programming language, click Remove Code.

  4. Click Yes in the message box warning you that you are about to remove the code from the form template.

  5. In the Form template code language list, click the language that you want to use in the form template.

    Tip: If you are changing the programming language to Visual Basic or C#, in the Project location for Visual Basic and C# code box, type the location where you want to save the project files.

Add a data connection to a microsoft access database

If your users will need data from a Microsoft Office Access 2007 (.accdb format) database or from an Access database saved in an earlier version (.mdb format) to fill out a form based on your Microsoft Office InfoPath form template, you can add a secondary data connection to your form template that queries an Access database.

You can add a secondary data connection, but that data connection can only query an Access database. You cannot add a secondary data connection that submits form data to an Access database.

If you want your users to submit their form data to an Access database, you can design a form template that is based on an Access database, and then enable the submit data connection in the main data connection. Alternatively, you can add a secondary data connection to a Web service that works with your Access database.

Overview

A secondary data connection is a data connection that you add to a form template. A secondary data connection is different from the main data connection, which you create when you design a new form template that is based on a database or a Web service. A form template's main data connection can receive data from an external data source and can also submit form data to an external data source. However, a form template can have only one main data connection.

You can add as many secondary data connections to a form template as you want. For example, suppose that you have an Access database that contains a table that stores employee data and another table that stores customer data. You can add a secondary data connection that retrieves data from the employee table, and you can also add another secondary data connection that retrieves data from the customer table in the same Access database.

Although you can add a secondary data connection to your form template that can submit form data to an external data source, such as a Web service or Windows SharePoint Services library, you can only use secondary data connections to retrieve data from an Access database. You cannot add a secondary data connection that submits form data to an Access database.

When you add a query data connection to a database, InfoPath creates a secondary data source that contains data fields and groups that correspond to the way that the data is stored in the database. Because the data structure in the secondary data source must match the way that data is stored in the database tables, you cannot modify the fields or groups in the secondary data source.

You can configure each query data connection to save its results so that users have access to the data when their form is not connected to a network. Depending on the nature of the data, you might want to display the query results only when users are connected to a network.

Security Note: If you are using a secondary data connection to retrieve sensitive data from an external data source, you may want to disable this feature to help protect the data from unauthorized use in case the computer is lost or stolen. If you disable this feature, the data will be available only if the user is connected to the network.

When you add a query data connection to a form template, by default the forms that are based on this form template use the data connection when they are opened by a user. You can also configure your form template to use the query data connection in one of the following ways:

  • Add a rule    You can configure a rule to use the query data connection whenever the condition in the rule occurs.

  • Add a button    You can add a button to the form template that users can click to get data by using the query data connection.

  • Use custom code    If you cannot add a rule or button, you can use custom code to get data by using the query data connection. Using custom code requires a developer to create the custom code.

You cannot add a data connection to an Access database to a browser-compatible form template.

Before you begin

Before you add a secondary data connection to an Access database to your form template, you need the following information:

  • The name and location of the database.

    Note: If your Access database is stored in a network location, make sure that your database is accessible to your users.

  • The name of the table or query that will supply data to forms that are based on this form template. You will use this table or query as the primary table or query when you configure the query data connection.

  • The names of any other tables or queries that supply additional data to the primary table or query. In most cases, the table relationships are already established in the database. If you have to manually establish the relationships between the primary table or query and another table or query, you will need the related field names of both tables or queries.

Step 1: Add a secondary data connection

  1. On the Tools menu, click Data Connections.

  2. In the Data Connections dialog box, click Add.

  3. In the Data Connection Wizard, click Create a new connection to, click Receive data, and then click Next.

  4. On the next page of the wizard, click Database (Microsoft SQL Server or Microsoft Office Access only), and then click Next.

  5. On the next page of the wizard, click Select Database.

  6. In the Select Data Source dialog box, browse to the location of your database.

    Note: If your database is stored in a network location, browse to the universal naming convention (UNC) path of the location. Do not browse to the network location through a mapped network drive. If you use a mapped network drive, users who create forms based on this form template will search for the database from a mapped network drive. If the user does not have a mapped network drive, the form will not find the database.

  7. Click the name of your database, and then click Open.

  8. In the Select Table dialog box, click the primary table or query that you want to use, and then click OK.

  9. On the next page of the wizard, select the Show table columns check box.

    By default, all of the fields in the table or query are added to the main data source of the form template.

  10. Clear the check boxes for the fields that you do not want to include in the secondary data source.

    Add any additional tables or queries to the data connection.

    How?

    1. Click Add Table.

    2. In the Add Table or Query dialog box, click the name of the child table, and then click Next. InfoPath attempts to set the relationships by matching field names in both tables. If you do not want to use the suggested relationship, select the relationship, and then click Remove Relationship. To add a relationship, click Add Relationship. In the Add Relationship dialog box, click the name of each related field in the respective column, and then click OK.

    3. Click Finish.

    4. To add additional child tables, repeat these steps.

  11. Click Next.

  12. To make the results of the query data connection available when the form is not connected to a network, select the Store a copy of the data in the form template check box.

    Security Note: Selecting this check box stores the data on the user's computer when the form uses this data connection. If the form is retrieving sensitive data from this data connection, you might want to disable this feature to help protect the data in case the computer is lost or stolen.

  13. Click Next.

  14. On the next page of the wizard, type a descriptive name for this secondary data connection, and then verify that the information in the Summary section is correct.

  15. To configure the form to automatically receive data when the form is opened, select the Automatically retrieve data when form is opened check box.

Step 2: Configure the form template to use the data connection

If you want the forms that are based on this form template to use this data connection after the user opens the form, you can add a rule to the form template that uses this data connection under a certain condition, or you can add a button to the form template that your users can click to use this data connection.

Add a rule

You can add a rule to the form template that serves to retrieve data from the query data connection whenever the condition for the rule is met. For example, you can add a text box to your form template that a user can fill out to get specific data from an external data source. You can then add a rule that uses the data connection whenever a user enters data in the text box.

The following procedure assumes that you have created a query data connection for your form template, and that you have configured a control (other than a button) on your form template to display the data from that data connection.

  1. If the form template has multiple views, click View name on the View menu to go to the view with the control where you want to display the data from the secondary data source.

  2. Double-click the control that you want to add a rule to.

  3. Click the Data tab.

  4. Under Validation and Rules, click Rules.

  5. In the Rules dialog box, click Add.

  6. In the Name box, type a name for the rule.

  7. To specify a condition when the rule should run, click Set Condition, and then enter the condition. The rule will run when the condition occurs. If you do not set a condition, the rule will run whenever the user changes the value in the control, and then moves his or her cursor away from that control.

  8. Click Add Action.

  9. In the Action list, click Query using a data connection.

  10. In the Data connection list, click the query data connection that you want to use, and then click OK to close each open dialog box.

  11. To test your changes, click Preview on the Standard toolbar, or press CTRL+SHIFT+B.

Add a button

You can add a button control to your form template that your users can click to get data from the query data connection.

  1. If the form template has multiple views, click View name on the View menu to go to the view with the control where you want to display the data from the secondary data source.

  2. If the Controls task pane is not visible, click More Controls on the Insert menu, or press ALT+I, C.

  3. Drag a button control onto your form template.

  4. Double-click the button control that you just added to the form template.

  5. Click the General tab.

  6. In the Action list, click Refresh.

  7. In the Label box, type the name that you want to appear on the button on your form template.

  8. Click Settings.

  9. In the Refresh dialog box, do one of the following:

    • To receive the latest data from all external data sources with secondary data connections to this form template, click All secondary data sources.

    • To configure the button to receive the latest data from one external data source with a secondary data connection to your form template, click One secondary data connection, and then click a secondary data source in the Choose the secondary data source list.

  10. Click OK to close each open dialog box.

  11. To test your changes, click Preview on the Standard toolbar, or press CTRL+SHIFT+B.
