If you want form data to print in the header or footer of a form when users print the form, you can insert a field into the header or footer. For example, if you want an employee's name and cost center to automatically print at the bottom of an expense report form, you can insert a reference in the Print form with this footer box, which points to the corresponding fields in the data source. When users fill out their name and select a cost center, this information will appear automatically at the bottom of the printed form.

On the View menu, click Header and Footer.

Click the Print Settings tab.

Under Headers and Footers, click Header or Footer.

In the Header Format or Footer Format dialog box, type any text you want in the Print form with this header or Print form with this footer box. Place your cursor where you want the data from the form to appear.

In the Insert AutoText box, click Field.

In the Select a Field or Group dialog box, select the field containing the data you want to appear in the header or footer.

To test your changes, click Preview on the Standard toolbar, or press CTRL+SHIFT+B.

Enter data in the control that is bound to the field you chose in step 5.

To test how your changes will look on the printed form, click Print Preview on the Standard toolbar. The data you typed into the control in step 8 should appear in the header or footer.
Note: Headers and footers appear only in the Print Preview window and in the printed form, and will not appear in the regular Preview window.
