Copy text formatting in OneNote for Windows

If you add new pages to OneNote and you'd like them to look like the other pages in your notebook, you can copy the style with the Format Painter.

Copy formatting from one text selection

  1. Select any part of the text with the formatting you want to copy.

  2. Click Home > Format Painter.

  3. Without clicking anywhere else on the current page, navigate to the text you want to format and drag the paintbrush-shaped mouse pointer over that text.

    When you release the mouse button, the formatting will be applied.

    Tip:  If you make a mistake, press Ctrl+Z and try again. If the text you want to format is somewhere else in your notebook, you can safely click the scrollbars, page tabs, or section tabs to find the text you want to format. Just be sure not to click anywhere on the page.

Apply text formatting to multiple selections

The Format Painter tool can also be used to format multiple selections. The text can be in more than one paragraph on the same page, or on multiple pages.

  1. Select any part of the text with the formatting you want to copy.

  2. Click Home and double-click the Format Painter button. The button will stay selected until you turn off the Format Painter.

  3. Without clicking anywhere else on the current page, navigate to the text you want to format and drag the paintbrush-shaped mouse pointer over that text.

    Repeat this step for each additional text selection you want to format.

  4. To stop using the Format Painter, press Esc on your keyboard or click the Format Painter button again.

Tip:  If you make a mistake while formatting any of your selections, press Ctrl+Z to undo your last action, then continue applying the copied formatting.
