Activity Reports in the Office 365 admin center

The Office 365 Reports dashboard shows you the activity overview across the Office 365 products in your organization. You can drill in to individual product level reports to give you more granular insight about the activities within each product. For example, you can put together a report to send to your management team on how many users in your organization are using Office 365, how many have activated Office or how much email traffic is flowing through your organization. You can view reports dashboard for the last 7 days, 30 days, 90 days and 180 days.

Important: Depending on the Office 365 subscription you have, you may not see all the products and activity reports shown in this article.

How do I get to the Reports dashboard?

  1. Sign in to Office 365 with your work or school account.

  2. Go to the Office 365 admin center.

  3. Select Reports from the left menu or click on the Reports widget.

The Reports widget on the Office 365 admin center gives you a quick glance on activity across the Office 365 products. If you want more detailed data, you can then click into the Reports widget for more information.

Who can see Office 365 Reports?

You must be a global administrator in Office 365 or an Exchange, SharePoint, or Skype for Business administrator to see Office 365 reports. To learn more, see About Office 365 admin roles.

How do I interpret the Reports dashboard?

The Reports dashboard shows you the activity overview across the Office 365 products in your organization. It shows you high level metrics and usage in the various products in Office 365, so you can easily gauge the level of engagement of your organization.

Select or tap each of the activity reports widgets to drill deeper into the metrics for that report.

Available activity reports

Default activity reports are available for the following reports in Office 365.

Important: Depending on the Office 365 subscription you have, you may not see all the products and activity reports shown in this article.

To view an activity report, select it from the Select a report drop-down or select it from the widget.

Office 365 select available reports

You can view your reports at the organizational level and the individual user level. Reports are available for the last 7 days, 30 days, 90 days, and 180 days.

Note: Data won't exist for all reporting periods right away. The reports will become available with at least 30 days of data, and then we will continue to gather data for the available reporting periods.

Active Users

On the Active Users widget, you can see the number of unique users who did specific activities per product. This chart is summary of active users across all products. You can drill into individual product's activity reports for more information about the active users.

Email activity

On the Email activity widget, you can see the amount of emails sent and received in your organization, for the selected reporting period.

Total email sent and received in the given reporting period.

Visual breakdown of the total email send, read and received.

Total number of users that were active in email by sending or reading an email in the selected reporting period.

Mailbox usage

The new Mailbox usage report provides information about users with a user mailbox and the level of activity by each based on the email send and read activity. It also provides information about how much storage has been consumed by each user mailbox, and how many of them are approaching storage quotas. Office activations

On the Office activations widget, you can see the total Office subscription activations on all desktops and devices.

Note: There's no trending information for Office activations.

SharePoint activity

On the SharePoint activity page, you can see the total number of uploaded, downloaded, viewed, modified or shared file activities that happen in SharePoint in your organization. On the SharePoint activity widget, you can see the total number of files that were viewed/edited or synched(using any client), or shared internally or externally from any SharePoint team or group site.

Snapshot of the count of files across all the SharePoint sites (team or group sites) in your organization.

OneDrive activity

On the OneDrive files widget, you can see a count of files uploaded, downloaded, viewed, modified, or shared in OneDrive, for the selected reporting period.

Skype for business activity

On the Skype activity widget, you can see the total count of peer-to-peer, organized or participated conference sessions. You can also see the count of users with peer-to-peer, organized or participated conference sessions.

Yammer activity

On the Yammer activity widget, you can see the count of message posted, messages read and a count of Yammer likes.

Hide user details in the reports

If you want to hide user level information when you're generating your reports, you can quickly make that change in the Office 365 admin center.

  1. Go to the Office 365 admin center > Services & add-ins

    Go to Office 365 services and add-ins
  2. Select Reports

    Office 365 select to hide specific user data in reports
  3. Set the toggle to On and Save.

Your user list will look like this:

It'll take a few minutes for these changes to take effect on the reports in the reports dashboard. This setting also applies to the reports API.

The activity report format is available for the following reports in Office 365.

  • User email activity

  • Office 365 ProPlus activations

View reports in the old Office 365 admin center
  1. Sign in to Office 365 with your work or school account.

  2. Go to the Office 365 admin center.

  3. Choose Reports.

  4. Select one of the New activity reports.

    Tip: The Activity reports are those with a New icon next to them.

After you select a report, such as Email activity, you'll see a report like this:

Use the available settings on the report to change how data is presented.

1 Date range

Change the date range from 7 days, 30 days, 90 days, or 180 days.

2 Date selector

Choose a specific date from the chart to view a report .

3 Activity filter

Choose the data to display on the chart, in this example, emails sent, received, or read. The grid is not affected.

4 Rearrange

Rearrange the order of information in the table.

5 Manage columns

Choose which columns to display in the table. Some reports include more columns of data to show.

6 Export

Export the report to CSV and open it in Excel. This exports the entire data set not just those shown in the grid.

7 Full screen

Switch the report to full screen to view the data better.

8 Scroll

Scroll down the report to view up to 2,000 items at a time or use the page settings to go through your entire list of users.
