Record Unified Messaging voice mail greetings
When your Microsoft Exchange Server account is set up with Unified Messaging, your voice mail account automatically comes with a system-generated standard greeting and an extended absence greeting. For a more personal experience, you can record your own voice mail message for one or both greetings.
The way you record a voice mail greeting depends on whether you're using Unified Messaging with Exchange Server 2010 or Exchange Server 2007.
Note: This feature requires a Microsoft Exchange Server 2010 or Exchange Server 2007 account. Most home and personal accounts don't use Microsoft Exchange. Your Exchange administrator must enable the Unified Messaging feature.
Record a voice mail greeting in Unified Messaging with an Exchange 2010 account
Note: The voice mail options found in Microsoft Outlook 2010 are also available in Outlook Web App.

In Outlook, click the File tab.

Click Manage Voice Mail.
Note: After your Web browser opens, you are prompted for your login credentials for Outlook Web App.

In the Enter the phone number that you want the voice mail system to call you at when you're using the Play on Phone feature box, type the phone number that the system can use to call you. Type the number exactly as you would dial the number from your office phone, including any prefixes. For example, you might type 12345 for an extension, or 9 (425) 555-0183 for an outside line on a business phone system. Parentheses, hyphens, and spaces are not required, but might be easier to read.
Note: Exchange administrators can restrict the Play on Phone number. For example, you might not be able to specify a phone number that is outside of your organization.

Click Call me on my Play on Phone number to play or record a voice mail greeting.

When you receive the call from the Unified Message system, follow the voice prompts to record personalized voice mail greetings.
Record a voice mail greeting in Unified Messaging with an Exchange 2007 account

In Outlook, click the File tab.

Click Manage Voice Mail.

Click the Voice Mail tab.

Click Call.

In the Play on Phone dialog box, enter a number in the Dial box or click a number in your most recently used numbers list.
Type the number exactly as you would dial the number from your office phone, including any prefixes. For example, you might type 12345 for an extension, or 9 (425) 555-0183 for an outside line on a business phone system. Parentheses, hyphens, and spaces are not required, but might be easier for you to read later.

Click Dial.
A phone call is made to the telephone number that is specified in the Dial box.
