Use a screen reader with staffhub for employees to view or adjust shifts

This article is for people with visual impairments who use a screen reader program with the Office products and is part of the Office Accessibility content set. For more general help, see Office Support home.

Use Microsoft StaffHub with VoiceOver, the built-in iOS screen1519047c-4a72-4a0a-b943-78a7a3688d8d reader, to check out your upcoming shifts. You can also use StaffHub to swap shifts with your colleagues, or request vacation time from your manager.

Notes:

  • This topic assumes that you are using the built-in iOS screen reader, VoiceOver. To learn more about using VoiceOver, visit Apple accessibility.

  • This topic assumes that you are using an iPhone. Some navigation and gestures might be different for an iPad.

View upcoming shifts and shift details

  1. You can find your upcoming shifts in the My Shifts tab. To open the My Shifts tab, swipe right or left until you hear "My shifts tab," and then double-tap the screen. The My Shifts tab opens, and your upcoming shifts are listed.

  2. To browse the list of upcoming shifts, swipe right or left. As you move, your shifts are announced as "<day>, <start and end time of the shift>, <time zone>, <shift color>, <name of group>" and if notes were left in the shift. Vacation days are announced as "<day>, <time zone>, <shift color>, <type of time off>, time off shift."

  3. To view the details of the currently selected shift, double-tap the screen. The Shift Details window opens.

  4. To browse the shift details, such as the shift notes, swipe right. VoiceOver announces the details as you move. If you want to check the people taking part in the shift, select the People tab. To open the People tab, swipe right or left until you hear "People button," and then double-tap the screen.

  5. To move the focus back to My Shifts, swipe left until you hear "Back button," and then double-tap the screen.

Swap shifts or request time off

You can easily ask your colleagues to swap a shift with you, or request a vacation time from your manager.

Swap a shift

  1. To open the Requests tab, swipe right or left until you hear "Requests tab," and then double-tap the screen. The Requests tab opens.

  2. To create a new request, swipe left until you hear "Add request button," and then double-tap the screen. You hear: "Request time off button."

  3. To swap a shift, swipe right until you hear "Swap or offer shift button," and then double-tap the screen. The Swap or Offer Shift window opens with the Swap My Shift tab selected.

  4. To select the day containing the shift you want to swap, swipe right until you hear "Select your shift," and then double-tap the screen. The calendar for the current month opens. To browse the calendar, swipe right or left. VoiceOver announces the days as you move, and days containing a shift are announced as "shift scheduled." To move to the next month, swipe right or left until you hear "Next month button," and then double-tap the screen. When you find the day containing the shift you want to swap, double-tap the screen.

  5. The shifts for the selected day are listed. To select the shift you want to swap, swipe right until you hear "My shifts on <selected day>," swipe right until you hear the details of the shift you want to swap, and then double-tap the screen to select. The calendar closes.

  6. To select the shift you want to swap for, swipe right until you hear "Select a team member's shift," and then double-tap the screen. A weekly calendar opens and the shifts for the selected date are listed. To find another date in the calendar, swipe right or left. The days are announced as you move. To move to the next week, swipe right or left until you hear "Next week button," and then double-tap the screen. When you find the day containing the shift you want to take, double-tap the screen.

  7. The employees and corresponding shifts for the selected day are listed. To select the shift you would like to take, swipe right until you hear "Team shifts on <selected day>," swipe right until you hear the details of the shift you want to take, and then double-tap the screen to select. The focus moves back to the Swap or Offer Shift window.

  8. If you want to add a reason why you need to swap the shift, swipe right until you hear "Add a reason for your swap offer request," and then double-tap the screen. The on-screen keyboard is in the bottom half of the screen. Type the details, and when finished, swipe right until you hear "Done," and then double-tap the screen.

  9. To send the request, swipe right until you hear "Send request button," and then double-tap the screen. The Swap Request window opens, and you hear: "Back button." To move to the Requests tab, double-tap the screen.

    Note: The Requests tab lists all the requests related to you. To browse the list, swipe right or left. If a request is approved, you hear "Approved" after the request details. If a request is declined, you hear "Declined" after the request details.

Request time off

  1. To open the Requests tab, swipe right or left until you hear "Requests tab," and then double-tap the screen. The Requests tab opens.

  2. To create a new request, swipe left until you hear "Add request button," and then double-tap the screen. You hear: "Request time off button."

  3. To request time off, double-tap the screen. The New Time Off Request window opens.

  4. To select the time off type you want to request, swipe right until you hear "Vacation," double-tap the screen, and then swipe right. A list opens, and you hear "Vacation, 6 of 6." To browse the list items, swipe up or down. As you move, VoiceOver announces the time off types, such as "Unpaid" or "Sick leave." When you find the item you want, swipe right to select the item.

  5. By default, you are requesting an all-day time off. If you want to request time off for specific hours, swipe right until you hear "Switch button on," and then double-tap the screen. You hear: "Off."

  6. To set the start and end date of the time off, swipe right until you hear "Select date," and then double-tap the screen. A monthly calendar opens, where you can select the start and end dates. First, select the start date, and then select the end date. To browse the calendar, swipe right or left. VoiceOver announces the days as you move. To select a date, when you find the date you want, double-tap the screen. To move to the next month, swipe right or left until you hear "Next month button," and then double-tap the screen.

  7. After selecting the start and end date of the time off, to confirm the selection, swipe right until you hear "Done button," and then double-tap the screen.

  8. If you are requesting time off for specific hours, do the following:

    • To select the start time, swipe right or left until you hear "I'm out on," and then swipe right four times. You hear "Select time." Double-tap the screen. To select the hours, swipe right, and then swipe up or down until you hear the value you want. To select the minutes, swipe right, and then swipe up or down until you hear the value you want.

    • To select the end time, swipe right three times. You hear: "Select time." Select the end time as you did for the start time.

  9. If you want to add a reason why you need the time off, swipe right until you hear "Add a reason for your time off request," and then double-tap the screen. The on-screen keyboard is at the bottom half of the screen. Type the details, and when finished, swipe right until you hear "Done," and then double-tap the screen.

  10. To send the request to your managers, swipe right until you hear "Send request button," and then double-tap the screen. The Time Off Request window opens, and you hear: "Back button." To move to the Requests tab, double-tap the screen.

View upcoming shifts and shift details

  1. You can find your upcoming shifts in the My Shifts tab. To open the My Shifts tab, swipe right or left until you hear "My shifts button," and then double-tap the screen. The My Shifts tab opens, and your upcoming shifts are listed.

  2. To browse the list of upcoming shifts, browse right or left. As you move, your shifts are announced as "<day>, <shift color>, <start and end time of the shift>, <time zone>." Vacation days are announced as "Off."

  3. To view the details of the currently selected shift, double-tap the screen. The Shift Details window opens.

  4. To browse the shift details, such as the shift notes, swipe right. TalkBack announces the details as you move. If you want to check the people taking part in the shift, select the People tab. To open the People tab, swipe right or left until you hear "People button," and then double-tap the screen.

  5. To move the focus back to My Shifts, swipe left until you hear "Navigate up button," and then double-tap the screen.

Swap shifts or request time off

You can easily ask your colleagues to swap a shift with you or request a vacation time from your manager.

Swap a shift

  1. To open the Requests tab, swipe right or left until you hear "Requests button," and then double-tap the screen. The Requests tab opens.

  2. To create a new request, swipe right until you hear "Start a request button," and then double-tap the screen. You hear: "Cancel start request."

  3. To swap a shift, swipe left until you hear "Swap or offer shift button," and then double-tap the screen. The Swap or Offer Shift window opens with the Swap My Shift tab selected.

  4. To select the day containing the shift you want to swap, swipe right until you hear "Select your shift icon," and then double-tap the screen. The calendar for the current month opens. To browse the calendar, swipe right or left. TalkBack announces the days as you move, and days containing a shift are announced as "working shift scheduled for you this day." To move to the next month, swipe right or left until you hear "Go to button," and then double-tap the screen. When you find the day containing the shift you want to swap, double-tap the screen.

  5. The shifts for the selected day are listed. To select the shift you want to swap, swipe right until you hear "My shifts on <selected day>," swipe right until you hear the details of the shift you want to swap, and then double-tap the screen to select. The calendar closes.

  6. To select the shift you want to swap for, swipe right until you hear "Select a team member's shift," and then double-tap the screen. A weekly calendar opens and the shifts for the selected date are listed. To find another date in the calendar, swipe right or left. The days are announced as you move. To move to the next week, swipe right or left until you hear "Go to next button," and then double-tap the screen. When you find the day containing the shift you want to take, double-tap the screen.

To select the shift you would like to take, swipe right until you hear "Team shifts on <selected day>," swipe right until you hear the details of the shift you want to take, and then double-tap the screen to select.   8. If you want to add a reason why you need to swap the shift, swipe right until you hear "Add a reason for your swap request edit box," and then double-tap the screen. The on-screen keyboard is in the bottom half of the screen. Type the details.

  9. To send the request, swipe right or left until you hear "Send request," and then double-tap the screen. The Shift Swap Request window opens. To move to the Requests tab, swipe left until you hear "Navigate up button," and then double-tap the screen.

    Note: The Requests tab lists all the requests related to you. To browse the list, swipe right or left. If a request is approved, you hear "Approved" before the request details. If a request is declined, you hear "Declined" before the request details.

Request time off

  1. To open the Requests tab, swipe right or left until you hear "Requests button," and then double-tap the screen. The Requests tab opens.

  2. To create a new request, swipe right until you hear "Start a request button," and then double-tap the screen. You hear: "Cancel start request."

  3. To request time off, swipe left until you hear "Request time off button," and then double-tap the screen. The Time off window opens.

  4. To select the time off type you want to request, swipe right until you hear "Drop-down list, vacation," and then double-tap the screen to open the list. To browse the list items, swipe up or down. As you move, TalkBack announces the time off types, such as "Unpaid" or "Sick day." When you find the item you want, double-tap the screen to select.

  5. By default, you are requesting an all-day time off. If you want to request time off for specific hours, swipe right until you hear "All day, currently selected," and then double-tap the screen. You hear: "All day currently unselected."

  6. To set the start and end date of the time off, swipe right until you hear "Select date icon," and then double-tap the screen. A monthly calendar opens, where you can select the start and end dates. First, select the start date, and then select the end date. To browse the calendar, swipe right or left. TalkBack announces the days as you move. To select a date, when you find the date you want, double-tap the screen. To move to the next month, swipe right or left until you hear "Go to next button," and then double-tap the screen.

  7. After selecting the start and end date of the time off, to confirm the selection, swipe right until you hear "Done," and then double-tap the screen.

  8. If you are requesting time off for specific hours, do the following:

    • To select the start time, swipe right or left until you hear "I'm out on," and then swipe right three times. You hear "Select time icon." Double-tap the screen. To select the hours, swipe right until you hear the value you want, and then double-tap the screen. After the hours are selected, to select the minutes, swipe right until you hear the value you want and then double-tap the screen.

    • To select the end time, swipe until you hear "Until," and then swipe right two times. You hear "Select time icon." Double-tap the screen. Select the end time as you did for the start time. When done, swipe right until you hear "OK button," and then double-tap the screen.

  9. If you want to add a reason why you need the time off, swipe right until you hear "Add a note to the manager," and then double-tap the screen. The on-screen keyboard is at the bottom half of the screen. Type the details.

  10. To send the request to your managers, swipe right or left until you hear "Send request button," and then double-tap the screen. The Time off window opens. To move to the Requests tab, swipe left until you hear "Navigate up," and then double-tap the screen.
