Using Telephone and Computer Audio Conferencing

Use Telephone and Computer Audio if you want to give the meeting attendees the option to use their telephone to dial in to the audio portion of the meeting or connect to the audio using their computer.

To use Live Meeting phone conferencing, you need a phone conferencing account from your service provider. The information you need to configure your audio settings includes the following:

  • Conferencing provider name.

  • Access phone numbers.

  • Leader and participant codes.

  • Any special dialing keys that the Live Meeting service must use to call the conferencing provider automatically. These dialing keys are required to use Internet Audio Broadcasting and to record meetings.

If you do not have a phone conferencing account, you must get one from your conference call provider before you can proceed. If you do not know who your conference call provider is, contact your Live Meeting account administrator.

Note: In order to use Computer Audio, the meeting attendees must have a sound card, microphone to speak and speakers or headset to listen to the audio.

To use both a telephone conferencing service and Computer Audio Conferencing for a meeting

  1. On the My Home page, under Meet, click Schedule Meeting.

  2. Click Meeting Options.

  3. On the Meeting Options page, click Audio.

  4. In the Audio for this meeting list, click Telephone and computer audio conferencing.

  5. In the Conferencing provider list, do one of the following:

    • If your conferencing provider is listed, select it in the list. This will allow you to use the Join Conference feature from the Live Meeting client, to have Live Meeting call your phone instead of dialing in.

    • If your conferencing provider is not listed, select Other. You will not be able to use the Join Conference feature from the Live Meeting client, but Live Meeting will automatically display the conference phone numbers and participant code to all meeting participants.

  6. Select the phone conferencing options that you want to enable:

    • Allow meeting participants to use "Join Conference" to have Live Meeting call their phone instead of dialing in. When this option is selected, meeting participants can click Join Conference in the Live Meeting client to have the conferencing service call their phone, rather than dialing in to the conference call themselves.

    • One-way Internet Audio Broadcasting, also known as Voice over IP (VoIP), is a one-way audio broadcast from the presenter over the Internet, which enables attendees to hear the audio through their computers. When this option is enabled, the meeting presenter sees a Join Conference button when the Live Meeting client starts. Presenters in the meeting must still join the conference call and must still click Join Conference in order for audio broadcasting to begin.

      Note: Click, One-way Internet Audio Broadcasting if you only want the meeting attendees to be able listen to the audio using their computer and not speak.

    • Display the toll free phone number to meeting participants in the Live Meeting Console. Select this option to display the toll-free phone number that you are using in the Voice & Video pane or Meeting Information pane for all meeting participants to see.

    • Display the toll phone number to meeting participants in the Live Meeting Console. Select this option to display the toll number you want to display in the Voice & Video pane or Meeting Information pane for all meeting participants to see.

  7. Enter the correct toll and toll-free phone numbers for your phone conferencing account.

  8. Enter the participant code and the leader code assigned to your phone conferencing account.

  9. Enter any additional dialing keys required for automatically dialing your conferencing provider and joining a phone conference. In the first Actual dialing keys box, each comma creates a one-second delay, allowing Live Meeting to pause for the phone conferencing prompts to finish, such as "Please enter your participant code followed by the pound sign." Live Meeting then sends the participant code. Type any dialing keys that should follow the participant code in the second Actual dialing keys box.

    Note: These keys allow you to input the character string needed to allow the Live Meeting service to get past audio prompts from the phone conferencing service and join the call. Live Meeting then "listens" to the conference call in order to broadcast the call over the Internet (Internet Audio Broadcasting) or record the audio as part of recording the meeting.

  10. Click Save As Default to save the current meeting options as the defaults for future meetings.

  11. Do one of the following:

    • To close the Meeting Options page, click OK.

    • Or, click OK to set the meeting options for the current meeting and close the Meeting Options page.

To Join a meeting as a presenter and connect your telephone conferencing service and Computer Audio Conferencing

  1. Dial in to the telephone conferencing service as the Leader to start the call.

  2. Join the Live Meeting as a presenter. When you join the Live Meeting, you will automatically be connected to Computer Audio. If you are not automatically connect to Computer Audio, click the Voice & Video pane, and then click, Join Audio.

  3. To bridge your telephone conference call and Computer Audio together, from the Voice & Video pane, click More (>>), click Options, and then click Connect Telephone and Computer Audio.

  4. When the Computer and Telephone Audio Connection window opens, verify the dialing keys and the participants pass code in the Dialing Keys text box are correct.

    Note: If you do not have the correct information, in the Dialing Keys text box, type the participant code, along with any necessary pauses and additional characters. A one-second pause is represented by a "p." For example, entering ppppp123456#ppppp#, pauses for 5 seconds after the telephone number is dialed, sends the participant code 123456 followed by the pound sign (#), pauses 5 more seconds, to allow a user to speak his or her name, and then sends another pound sign (#).

  5. Click Connect to connect the Live meeting client to the audio bridge. You may hear an anonymous participant joining the call.
