Use keyboard shortcuts to Zoom in or out in Outlook 2016

In Outlook 2016, you can use keyboard shortcuts to zoom, or enlarge, the text of an email and make it easier to read.

Notes: 

  • You can zoom an email in its own window or in the Reading pane.

  • You can only zoom the email you're currently reading. When you move to another email, the body text returns to the default font size.

  • To change the text size on the ribbon or in the Outlook navigation pane, you have to change the Display settings for your computer.

Note: This topic assumes that JAWS users have turned off the Virtual Ribbon Menu feature.

Zoom an email in its own window

  1. To open the email in its own window, select it in the message list and press Enter.

  2. To zoom the email, press Alt+H, then Q+1. The Zoom dialog box opens.

  3. To double the font size of the email with the 200% radio button, press the Up Arrow key. To enter your own zoom value, tab to the Percent spin box. You hear "Percent spin box." (In Narrator, you hear "Percent spinner."). Type the zoom value you want, for example, 250% or 400%.

  4. To close the Zoom dialog box and read the zoomed email, press Enter

Zoom an email in the Reading pane

  1. In the message list, select the email.

  2. To move the focus to the status bar, repeatedly press F6 until you hear "Zoom 100% button."

  3. To open the Zoom dialog box, press Spacebar until you hear "100%," and then press Enter.

  4. To double the font size of the email in the Reading pane with the 200% radio button, press the Up Arrow key. To enter your own zoom value, tab to the Percent spin box. You hear "Percent spin box." (In Narrator, you hear "Percent spinner.") Type the zoom value you want, for example, 250% or 400%.

  5. To close the Zoom dialog box and read the zoomed email in the Reading pane, press Enter.

Change the text size in the ribbon

You can change the text size in the ribbon or in the Outlook navigation panes in two ways:

  • Change the text size of a particular screen element.

  • Change the size of everything on the screen of your computer.

To change the text size in the ribbon, take these steps:

  1. Press the Windows key (between the right ALT key and the right Ctrl key) to open the Start screen.

  2. Press the Tab key to go to the Search box, and type Control Panel.

  3. In the Control Panel, Tab to the Search box and type Display, then press Enter.

  4. Go to the Display heading. The Display section contains two groups with these headings:

    • Change the size of all items.

      The settings in this group make everything on the screen larger or smaller, including icons, images, and text.

    • Change only the text size.

      In this group, you have to select a particular kind of screen element, such as title bars or menus, and then choose a text size for that element.

  5. Select the option that you want, and make the changes.

  6. When you finish, Tab to the Apply button and select it.
