Confirmed fields

The Confirmed fields indicate whether resources assigned to a tasks have accepted or rejected their task assignments.

There are several categories of Confirmed fields.

Confirmed (task field)

How Calculated    As soon as you assign resources to a task, the Confirmed field is set to No. In addition, if you send an assignment update to a resource with Microsoft Office Project Server, the Response Pending field is set to Yes. When you receive all responses to all outstanding TeamAssign updates for this task, the Response Pending field changes from Yes to No. If all resources accept the task assignment, the Confirmed field is set to Yes. If any resource rejects the assignment, this field remains set to No.

Best Uses    Add the Confirmed field, along with the Response Pending field, to a task sheet to track the status of task assignments with resources.

Example    You have assigned the "Write proposal" task to Sean, Chris, and Jamie. You have sent them assignment updates for this task. If all three resources confirm the task with a Yes, the task assignments are confirmed. The Confirmed field changes to Yes, and the Response Pending field changes to No. If at least one of the resources has not yet responded or rejects the task, the Confirmed field remains set to No, and the Response Pending field changes to No. You can consider assigning a different resource to the task.

How Calculated    As soon as you assign tasks to a resource, Microsoft Office Project enters a No in the Confirmed field. In addition, if you send an assignment update to a resource with Microsoft Office Project Server, the Response Pending field is set to Yes. When you receive all responses to all outstanding assignment updates from this resource, the Response Pending field changes from Yes to No. If the resource accepts all assignments, the Confirmed field is set to Yes. If the resource rejects at least one assignment, this field remains set to No.

Best Uses    Add the Confirmed field, along with the Response Pending field, to a resource sheet to track the status of task assignments with resources.

Example    You have tentatively assigned Sean to several tasks. If Sean confirms all assignment updates with a Yes, the assignments are confirmed. The Confirmed field changes to Yes, and the Response Pending field changes to No. If Sean has not responded to at least one of the assignment updates, or if Sean rejects a task, the Confirmed field remains set to No.

How Calculated    As soon as you make an assignment, Microsoft Office Project enters a No in the Confirmed field. In addition, if you send an assignment update to a resource with Microsoft Office Project Server, the Response Pending field is set to Yes. When you receive a response to this update, the Response Pending field changes from Yes to No. If the resource accepts the assignment, the Confirmed field is set to Yes. If the resource rejects the assignment, this field remains set to No.

Best Uses    Add the Confirmed field, along with the Response Pending field, to the sheet portion of the Task Usage or Resource Usage view to track the status of task assignments with resources.

Example    You have assigned Sean to the "Write proposal" task and have sent an assignment update. When Sean confirms the task with a Yes, the task assignment is confirmed. The Confirmed field changes to Yes, and the Response Pending field changes to No. If Sean rejects the task, the Confirmed field remains set to No, and the Response Pending field changes to No. You can then consider assigning the task to a different resource.
