Use the My phone numbers options to enter and publish, or unpublish, your phone numbers. Your phone numbers are part of your Presence information and are used by other Communicator users to contact you. When you publish phone numbers, you can and should control access to those phone numbers by setting access levels. By assigning access levels to your contacts, you can make your mobile or home phone number available to your closest co-workers, for example, but not available to all users in the company. For instructions, see Control access to your phone numbers later in this topic.

  • Work Phone     Displays the number of your work phone. If this number is supplied through Microsoft Active Directory directory service, you will not be able to edit it and the Work Phone button is disabled. Your work phone number is available to all Communicator users within your company. To publish this phone number as part of your presence profile, select the Publish this phone number check box next to the number.

  • Mobile Phone     To add or modify a mobile phone number, click Mobile Phone. To publish this phone number as part of your presence profile, select the Publish this phone number check box next to the number. Your mobile phone number is exposed to all contacts to whom you have granted Team or Personal Access Levels.

  • Home Phone     To add or modify a home phone number, click Home Phone. To publish this phone number as part of your presence profile, select the Publish this phone number check box next to the number. Your home phone number is exposed to all your contacts to whom you granted the Personal Access Level.

  • Other Phone     To add or modify another phone number, click Other Phone. This phone number might be a number for a temporary office or an alternate mobile phone number. To publish this phone number as part of your presence profile, select the Publish this phone number check box next to the number. This phone number is exposed to all your contacts to whom you grant the Personal Access Level.

Control access to your phone numbers

After you publish a phone number, especially a home or mobile phone number, you should ensure that access levels are set to:

  • Make the number available to those contacts who you want to have access to the number.

  • Make the number unavailable to those contacts who you do not want to have access to the number.

The following table shows the access levels that a contact must be granted to have access to the associated phone number. By default, contacts are assigned the Company access level when you add them to your Contact List, which means they only have access to your work phone number.

Note: * phone numbers defined in Active Directory are visible to all contacts in your company with Company, Team, or Personal access levels. They are not visible to users with Block or Public access levels. Phone numbers defined in Active Directory are not editable in the Phones tab.

To assign an access level to a contact

Do one of the following:

  • In the Contact List, right-click the contact, point to Change Level of Access, and then select the access level. For example, if you want a contact to have access to your mobile phone number, assign the contact to the Team or Personal Access Level.

  • In the Communicator window, click the Change the way you view your contacts button, select Access Levels, and then drag contacts into the appropriate access level.

  • When you receive a Communicator alert that a contact has added you to his or her Contact List, select the access level in the This person's level of access drop-down list.

About Active Directory and why some phone numbers cannot be modified or unpublished

Phone numbers that are provided to Communicator from Microsoft Active Directory will appear in the Phones tab as inactive fields and cannot be edited. In addition, these numbers cannot be unpublished. Clearing the Publish check box for numbers provided from Active Directory will not unpublish the number.

Phone integration

  • Enable integration with your phone system     Select this check box to integrate Communicator with your desktop telephone. When phone integration is enabled, you can use Communicator to control your desktop phone. For example, you can make phone calls by clicking the phone button in the contact list, or you can accept a call by clicking the phone notification popup window on your computer screen. Phone integration is typically set for you by your system administrator. If you have questions about whether phone integration is available within your company, contact your system administrator.

  • Advanced     Select Advanced to open the Configure Advanced Phone Integration dialog box where you can manually configure the remote call control URI (Uniform Resource Identifier) and phone URI. This configuration is typically handled by the system administrator.
