Edit or complete a workflow task from an Office 2007 program

If you receive a workflow task for a document that is saved to a Microsoft Office SharePoint Server 2007 site, you can complete your workflow task directly within the Office program you use to edit that document. Additionally, you can edit or complete workflow tasks directly from the workflow task notification e-mail that you receive in Microsoft Office Outlook 2007.

Note: The ability to complete workflows from the 2007 Microsoft Office system versions of Word, Excel, PowerPoint, and Outlook is available only in the Office Professional Plus 2007, Office Enterprise 2007, and Office Ultimate 2007 suites, as well as in the stand-alone 2007 Office release versions of these programs.

If you receive a workflow task that applies to an Office Word 2007 document, an Office Excel 2007 workbook, or an Office PowerPoint 2007 presentation, you can edit or complete that task from within the relevant program.

  1. Open the document for which you have a workflow task. You can locate this document by clicking the link you receive in your workflow task notification, or by browsing to the document in the SharePoint library where it is saved.

    When you first open a document for which you have an active workflow task, you should see text notifiying you about your workflow task in the Message Bar.

  2. Do one of the following:

    • In the Message Bar, click Edit this task.

    • Click the Microsoft Office Button Office button image , point to Server, and click View Workflow Tasks. Select the task that you want, and then click Open.

  3. In the form that appears, type or select the information that is requested to complete the task. Depending on the workflow, you may also have the option to reassign the task or otherwise update the task status.

    Note: The way you complete a workflow task depends on what the workflow is designed to do and how it was customized. You may have the option to reassign your task or request changes to the workflow item. Edit or complete a workflow task from within Outlook 2007

You will probably discover that you have a task to review a document when you receive an e-mail notification about the task. You can complete your task directly from this e-mail message in Outlook 2007.

  1. Open the e-mail task notification message.

  2. Click the Edit this Task button in the upper left of the message.

  3. In the form that appears, type or select the information that is requested to complete the task. Depending on the workflow, you may also have the option to reassign the task or otherwise update the task status.
