Remove the link to a communication history item from a Business Contact Manager record

You can remove the link to a communication history item from a record or from the Communication History folder. However, Business Contact Manager for Outlook treats the removal of some links to items differently.

To remove a meeting, file, e-mail message, or task from a record, you delete the link itself from the item to the record. The original meeting, file, e-mail message, or task remains intact, and you may create another link to it later.

However, if you remove the link to a business note, Opportunity, or phone log from a record, and these items are not linked to another record, the actual business note, Opportunity, or phone log will be deleted, and you cannot link to it in the future.

When you delete the link to a communication history item, the link is moved into the Deleted Items folder in Business Contact Manager for Outlook, from which it can be retrieved. Because this folder is not emptied automatically, we recommend that you periodically empty it to save space in your mailbox.

Note: Only the database owner can empty the Deleted Items folder and permanently delete a item.

Remove the link to a communication history item from a record

  1. On the Business Contact Manager menu, click Accounts, Business Contacts, Opportunities, or Business Project.

  2. Open the record that you want to remove the link to a communication history item from.

  3. On the Ribbon, in the Show group, click History.

  4. Select the item, and click Remove.

Communication history items linked to more than one record appear in the Communication History folder more than once. When you remove a separate copy of a communication history item that has multiple listings, the remaining copies still appear in the Communication History folder. Names of records that an item is linked to are displayed in the Linked To column of the Communication History folder.

  1. On the Business Contact Manager menu, click Communication History.

  2. Right-click the communication history item that you want to delete, and then click Delete.

The following table illustrates what happens when you delete a communication history item that the record is linked to, and do not remove the link:

Business note

A business note cannot be deleted if a link to it exists.

Phone log

A phone log cannot be deleted if a link to it exists.

Opportunity

The link to the Opportunity is also deleted.

Business Project

The link to the Business Project is also deleted.

Task

The business activity form containing the subject of the task, start date, due date, percent complete, status, and priority information.

E-mail message

The business activity form containing the first 4 kilobytes (KB) of the message, including To, From and Subject information.

Appointment

The business activity form containing subject, start and end time, and location information.

File

The business activity form containing subject and file name information.
