Get started using a screen reader with OneDrive for Business in Windows

You can use a screen reader and keyboard shortcuts to store and share files in your OneDrive for Business folder on your computer. Whenever you are online, your OneDrive for Business files are automatically synced to this folder.

Note: This topic assumes that JAWS users have turned off the Virtual Ribbon Menu feature.

Open your OneDrive for Business folder

The OneDrive for Business app is built into Windows 10, and the folder appears automatically in the file list when you use the Cortana Search bar or File Explorer.

In earlier versions of Windows, in order for your OneDrive for Business folder to appear in the Search bar or File Explorer, you first have to sync your OneDrive for Business to your PC. After you sync your OneDrive for Business, a folder is added to your PC. The OneDrive folder name includes your Office 365 organization name, such as OneDrive - Contoso or OneDrive@Contoso.com.

Open your OneDrive for Business folder from the Cortana search bar

  1. To select the Cortana Search bar, press the Windows logo key.

  2. When you hear "Cortana," type OneDrive for Business. (In Narrator, you hear "Cortana window, Search box.")

  3. When you hear "OneDrive for Businessdesktop app" or "OneDrive for Business file folder," press Enter.

Open your OneDrive for Business folder from File Explorer

  1. To open File Explorer, press the Windows key+E. File Explorer opens with the focus on the Items view.

  2. Use the arrow keys until you hear "OneDrive dash" and the name of the organization associated with the folder, and then press Enter.

Tip: If your OneDrive folder isn't listed in Items view, to select it, move to the Tree view in the Navigation pane. Press Shift+F6 or Shift+Tab, press the Down arrow key until you hear "OneDrive dash" and the name of the organization associated with the folder, and then press Enter.

Open an item

Select the item you want to open, and press Enter.

Tip:  To select the app you want to use to open the item, select the item, and press Alt+H, P+E. In the list of apps, to select a listed app or the Choose another app option, press the Down arrow key and then press Enter.

Upload an item

You can upload a file to OneDrive from File Explorer, or upload the file by saving it to OneDrive.

Upload a file from File Explorer

  1. To open File Explorer, press the Windows logo key+E.

  2. Select the folder or file you want to upload to OneDrive, and then press Shift+F10. The context menu opens, and you hear "Context menu."

  3. Press N, N, or press the Down arrow key until you hear "Send to," and then press Enter. The Send to submenu opens, and you hear "Send to submenu, Bluetooth device." (In Narrator, you hear "Bluetooth device, Send to submenu.")

  4. Press the Down arrow key until you hear the name of your OneDrive for Businessfolder, and then press Enter.

The file is uploaded to your OneDrive.

Save a file to your OneDrive for Business folder

  1. Open the file you want to upload, and press Alt+F. Backstage view opens, and you hear "Backstage View, Info tab." (In Narrator, you hear "Selected, Info tab.")

  2. To open the Save As tab, press A, A.

  3. When you hear "Save as features, Add a Place," press the Up arrow or Down arrow key until you hear the name of your OneDrive for Business folder and then press Enter. (In Narrator, you hear "Selected, Add a Place.") The focus moves to the Pick a Folder box, with the OneDrive for Business button selected.

  4. To move to the Enter File Name box, press the Down arrow key. Type a name for the file or, if a list of previous file names appears, to select a file name, press the Down arrow key.

    • To save the file to your main OneDrive for Business folder, press the Tab key to move to the Save button and then press Enter.

    • To save the file to a specific subfolder in your OneDrive for Business folder, press the Tab key until you hear "Name button," press the Down arrow key to move to the folder where you want to save the file, and then press Enter. When you hear the name of the first file in the folder (or, if there are no files in the folder, you hear the name of the folder), to move to the Save button, press Shift+Tab and then press Enter.

Download a OneDrive item to a device

By default, all folders in your OneDrive folder are available online and offline on your computer. If you're using the OneDrive app on your device and want to download an item from OneDrive to your device, (press Ctrl+C), move to the folder where you to download it, and paste it (press Ctrl+V).

Share an item from OneDrive

  1. Select the folder or file you want share, and press Shift+F10.

  2. The context menu opens, and you hear "Context menu, Open."

  3. Press O, O, or press the Down arrow key until you hear "OneDrive for Business," and then press Enter.

  4. When you hear "Go to Browser, G," press S. The Share 'Document' pane opens in OneDrive for Business in your default browser. You hear "Files, OneDrive," the name of your browser, "Share," and the name of your file.

  5. The Share 'Document' pane opens with the Invite people tab selected, and you hear "Enter a name or email address." (In Narrator, press the Tab key until you hear "Enter a name or email address.") Type a name.

  6. Press the Tab key until you hear "Choose a permission level combo box." (In Narrator, you hear "Choose a permission level, Can edit editable combo box.") The combo box opens with the Can edit option selected. To select the Can view option, press the Down arrow key until you hear "Can view."

  7. Press the Tab key, and when you hear "Include a personal message with this invitation, Left paren, Optional right paren," type a message if you want.

  8. Press the Tab key to move to the Require sign-in check box, if available. To clear it, press Spacebar.

  9. Press the Tab key to move to the Send an email check box. To clear it, press Spacebar.

  10. Press the Tab key to move to the Share button, and press Enter.

  11. Press the Tab key to close the browser window, press Alt+F4.

In the Share 'Document' pane, you can select options other than Invite people:

  • To get (and edit) a link to the document, press the Tab key until you hear "Get a link" and then press Enter.

  • To hear whom the item is shared with, press the Tab key until you hear "Shared with" and then press Enter.

Stop sharing an item

  1. Select the item you want to stop sharing.

  2. Press Alt+S, S+S.
