Change or update your signature

You can easily make changes to a signature, for example, to update a phone number or job title. You can also choose a different signature for all of your outgoing messages.

Do any of the following:

Update a signature

You can make changes to a signature in a message that you currently have open , but these changes will not be saved for other messages. If you want to save the changes, you can update the signature.

  1. On the Outlook menu, click Preferences.

  2. Under E-mail, click Signatures  Signatures Preferences button .

  3. Under Signature name, click the signature that you want to modify.

  4. In the Signature box, make your changes to the signature.

    Note: If you want your changes to appear in the signature in a message that you currently have open, you need to first remove the existing signature from the message body, and then on the Message tab, click Signatures, and choose the signature from the list.

Change the signature included in all outgoing messages

  1. On the Outlook menu, click Preferences.

  2. Under E-mail, click Signatures  Signatures Preferences button .

  3. Click Default Signatures.

  4. Under Account, select the account for which you want to change the default signature.

  5. Under Default signature, click the pop-up menu in the selected row, and then click a signature name.
