Use a screen reader to print an Excel workbook

This article is for people with visual impairments who use a screen reader program with the Office products and is part of the Office Accessibility content set. For more general help, see Office Support home.

For people who aren't using a screen reader, see Print a worksheet or workbook (in Windows), Print a sheet or workbook (in Mac OS), or Print a worksheet (in Excel Online).

Use Excel with your keyboard and a screen reader to print worksheets, workbooks, and selected cells. We have tested it with Narrator, JAWS, and NVDA, but it might work with other screen readers as long as they follow common accessibility standards and techniques. Keyboard shortcuts help you quickly print what you want, the way you want.

Notes: 

Print your workbook

  1. In your worksheet or workbook, select what you want to print, and then press Ctrl+P (or Ctrl+F2).

  2. Excel opens with the focus on the Print button and you hear: "Backstage view, Print group box, Print button." In Narrator, you hear: "Off, Print button."

    • To print one copy, press Enter (or Alt+P, P).

    • To print more than one copy, press Alt+P, N. The Copies combo box opens and you hear "Copies, Edit spin box." In Narrator, you hear "Copies, Editing 1."

      To select the number of copies you want, use the Up arrow key or type a number, and then press Enter.

    • To select another printer, press Alt+P, I to open the Printer combo box. Use the arrow keys to select or add a new printer or fax to send the spreadsheet report to. Excel automatically places the focus on the name of the default printer in Windows.

    • To select printer settings, press the Tab key until you hear the name of the combo box with the options you want and then press Enter, or press the keyboard shortcut for the setting option you want. The printer settings and their keyboard shortcuts are:

      Printer settings option

      Shortcut

      Print What combo box: use to choose between printing only the active (selected) worksheets in the workbook (the default), the entire workbook, the current cell selection in the current worksheet, or the currently selected table in the current worksheet.

      Alt+P, A

      Pages spin boxes: use to restrict what's printed to just the range of pages you type in these boxes, or select using the spinner button.

      Alt+P, H for first page in range;

      Alt+P, J for last page in range

      Two-Sided Printing combo box: use to select whether to print on one side or both sides of the paper.

      Alt+P, D

      Collation combo box: use to select whether or not to collate copies. 

      Alt+P, C

      Orientation combo box: use to select the page orientation, Portrait or Landscape.

      Alt+P, O

      Page Size combo box: use to change paper size selection.

      Alt+P, L

      Margins combo box: use the arrow keys to select predefined margins, or press A to activate the Custom Margins option to customize the margins.

      Alt+P, M

      Scale to Fit combo box: use to select whether to print the page at actual size or shrink it to fit on one page.

      Alt+P, S

  3. When you've finished making your selections, press Alt+P, P, or press the Tab key until you hear "Print" and then press Enter).

Use Excel for Mac with your keyboard and VoiceOver, the built-in macOS screen reader, to print worksheets, workbooks, and selected cells. Keyboard shortcuts help you print exactly what you want, quickly.

Print your workbook

By default, Excel for Mac is set to print all active worksheets. However, it is easy to adjust the settings to print your entire workbook.

  1. In your Excel workbook, press Command+P to open the Print dialog.

  2. To hear a list of available printers, press Command+Right arrow key until you hear: "Printer, popup button." Then, press Spacebar.

  3. Press the Down arrow key to hear the name of each printer.

  4. When you hear the name of the desired printer, press Enter.

  5. Press Command+Right arrow key until you get to the Copies box. Then, type the number of copies you want to print.

  6. Press Command+Right arrow key until you hear: "Entire workbook, popup button." Then, press Enter.

  7. Press Command+Right arrow key until you hear: "Print default button."

  8. Press Command+Spacebar to start printing.

Optimized Printing

The Print dialog does not automatically show all available print settings. To see the hidden printing options, press Command+Right arrow key until you hear: "Show details button." Then, press Enter to make more printing options available.

Print a single worksheet

To print a single worksheet in your workbook instead of printing the entire workbook:

  1. In the sheet you want to print, press Command+P to open the Print dialog.

  2. Press Command+Right arrow key until you hear: "Active sheets, popup button." Then, press Enter.

  3. Press Command+Right arrow key until your hear: "Print default button."

  4. Press Command+Spacebar to start printing.

Print two or more adjacent worksheets

You can print multiple worksheets in the workbook without printing the entire workbook. To do this:

  1. Select the tab of the first worksheet you want to print.

  2. Hold down the Shift key and use the Right arrow key to navigate to the last sheet you want to print, then release the Shift key.

  3. Press Command+P to open the Print dialog.

  4. Press Command+Right arrow key until you hear: "Print button."

  5. Press Command+Spacebar to start printing.

Print selected cells

To print a selection of highlighted cells:

  1. In your worksheet, select the cells you want to print.

  2. Press Command+P to open the Print dialog.

  3. Press Command+Right arrow key until you hear: "Selection, radio button." Then, press Enter.

  4. Press Command+Right arrow key until your hear: "Print button."

  5. Press Command+Spacebar to start printing.

Print an Excel table

To print an Excel table using VoiceOver:

  1. Use the Left or Right arrow keys to navigate to any cell in the table.

  2. Press Command+P to open the Print dialog.

  3. Press Command+Right arrow key until you hear: "Print button."

  4. Press Command+Spacebar to start printing.

Print specific pages or a page range

To print only specific pages or a range of pages:

  1. Press Command+P to open the Print dialog box.

  2. Press Command+Right arrow key until you hear: "Page Range, radio button." Then, press Spacebar.

  3. Press Command+Right arrow key once.

  4. Enter the page numbers or page range you'd like to print, separated by commas.

  5. Press Command+Right arrow key until you hear: "Print button."

  6. Press Command+Spacebar to start printing.

Set double-sided printing

By default, Excel is set to print single-sided prints. Choose two-sided printing to print on both sides of the page.

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Print."

  2. Press the Down arrow key until you hear: "Layout." Then, press Enter.

  3. Press Command+Right arrow key until you hear: "Two-sided, unchecked checkbox." Then, press Enter.

Scale sheet to fit paper width

The scale sheet features reduce or enlarge your worksheets so they better fit the height and width of the paper.

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Print." Press Enter to open the Page Setup dialog box.

  2. Press Command+Right arrow key until you hear: "Page tab." Then, press Spacebar.

  3. Press Command+Right arrow key until you hear: "Fit to, unchecked checkbox." Then, press Enter.

  4. Press Command+Right arrow key until you hear: "Page wide by box." Enter the number 1 to indicate you want the spreadsheet to be one page wide.

  5. Press Command+Right arrow key until you hear: "Page tall by box." Enter the number 0 to keep the value unspecified.

Scale sheet to size

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Page Setup button." Press Enter to open the Page Setup dialog box.

  2. Press Command+Right arrow key until you hear: "Page tab." Then, press Spacebar.

  3. Press Command+Right arrow key until you hear: "Adjust to, unchecked checkbox." Then, press Enter.

  4. Press Command+Right arrow key once. Then, press Spacebar to hear the percentage options.

  5. Use the Up and Down arrow keys to toggle through the percentage options to reduce or enlarge your spreadsheet. When you hear the option you want, press Enter.

Print without gridlines or headlines

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Page Setup button." Press Enter to open the Page Setup dialog box.

  2. Press Command+Right arrow key until you hear: "Page tab." Then, press Spacebar.

  3. Press Command+Right arrow key until you hear: "Print Gridlines, checked checkbox." Press return to uncheck the box if you don't want your sheet to print with gridlines.

  4. Press Command+Right arrow key until you hear: "Print Headings, checked checkbox." Press return to uncheck the box if you don't want your sheet to print with headings.

Change paper size

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Page Setup button." Press Enter to open the Page Setup dialog box.

  2. Press Command+Right arrow key until you hear: "Page tab." Then, press Spacebar.

  3. Press Command+Right arrow key until you hear: "Options button." Then, press Enter.

  4. Press Command+Right arrow key until you hear: "Page size, pop-up box." Then, press Spacebar.

  5. Use the Up and Down arrows to toggle through the page sizes. When you hear the desired size, press Enter.

Set collation

To print several copies of your workbook, set the collation feature so that it prints one complete set before printing the next set. (Instead of printing X copies of page 1, then X copies of page 2, etc.)

In the Print dialog box, press Command+Right arrow key until you hear: "Collation, unchecked checkbox." Then, press Enter.

Change page orientation

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Page setup button." Then, press Enter.

  2. Press Command+Right arrow key until you hear: "<Current orientation>, orientation." Then, press Spacebar.

  3. To toggle between Portrait and Landscape mode, press the Left or Right arrow keys. When you hear the desired option, press Enter.

Change page margins

  1. In the Print dialog box, press Command+Right arrow key until you hear: "Page setup button." Press Enter to open the Page Setup dialog box.

  2. Press Command+Right arrow key to navigate through the dialog box to Margins > Custom Margins.

  3. Press Command+Right arrow key to browse the available options:

    • Normal, radio button

    • Wide, radio button

    • Narrow, radio button

    • Custom Margins

    Press Enter to make your selection.

  4. If you chose Custom Margins, use Command+Right arrow key until you hear: "Width box." Enter the margin width. Then, press Command+Right arrow key until you hear: "Margin Height." Enter the margin height.

  5. To center the spreadsheet on the page, navigate to Custom Margins. Then, press Command+Right arrow key until you hear: "Center on Page Horizontally, unchecked checkbox." Then, press Spacebar.

  6. Press Command+Right arrow key until you hear: "Center on Page Vertically, unchecked checkbox." Then, press Spacebar.

Print to PDF

The Print to PDF feature doesn't actually print your worksheet. Instead it converts it to a PDF file, which you can then save, email, or print.

  1. In the Print dialog box, press Command+Right arrow key until you hear: "PDF, pop-up box." Then, press Spacebar.

  2. Press the Down arrow key to browse the available options:

    • Save as PDF

    • Save as PostScript

    • Add PDF to iBooks

    • Mail PDF

    • Save as Adobe PDF

    • Save PDF to Web Recipient Folder

    • Send PDF to Messages

    • Save PDF to Evernote

  3. Press Enter to make your selection.

  1. Verify that your iOS device and AirPrint-enabled printer are connected to the same wireless network.

  2. Verify that Siri and VoiceOver are enabled.

  3. In Excel for iOS, swipe right until you hear the folder location of the Excel file you want to print. Double-tap the screen to open the folder.

  4. Swipe right until you hear the name of the Excel file you want to print. Double-tap the screen to open the file.

  5. Drag your finger around the upper left of the screen until you hear: "File." Double-tap the screen to open the File menu.

  6. In the File menu, swipe right until you hear: "Print." Double-tap the screen to open the printing menu.

  7. To print the workbook instead of the active sheet, swipe right until you hear: "Print Entire Workbook." Double-tap the screen to select this option.

  8. Swipe right until you hear: "Airprint." Double-tap the screen to open Airprint.

  9. Swipe right until you hear: "Next." Double-tap the screen to continue to the printer selection screen.

  10. Swipe right until you hear the name of the printer you want to use, then double-tap the screen. VoiceOver reads the name of the selected printer.

  11. Swipe right until you hear: "Print." Double-tap the screen to start printing.

Print settings

The Layout Options menu lets you set printing options like paper size and orientation.

Note: Available print settings vary depending on the features of your printer and the version of your iOS device.

  1. Verify that your iOS device and AirPrint-enabled printer are connected to the same wireless network.

  2. Verify that Siri and VoiceOver are enabled.

  3. In Excel for iOS, swipe right until you hear the folder location of the Excel file you want to print. Double-tap the screen to open the folder.

  4. Swipe right until you hear the name of the Excel file you want to print. Double-tap the screen to open the file.

  5. Drag your finger around the upper left of the screen until you hear: "File." Double-tap the screen to open the File menu.

  6. In the File menu, swipe right until you hear: "Print." Double-tap the screen to open Layout Options.

Print orientation

  1. In Layout Options, swipe right until you hear "Orientation," and double-tap the screen.

  2. Swipe right until you hear "Landscape" or "Portrait." Double-tap the screen to select the option you want.

Paper size

  1. In Layout Options, swipe right until you hear "Paper size," and double-tap the screen.

  2. Swipe right to select the paper size you want, and double-tap the screen.

    Note: The default paper size is Letter.

Scaling

  1. In Layout Options, swipe right until you hear "Scaling," and double-tap the screen.

  2. Swipe right to select the size you want, and double-tap the screen.

    Note: The default setting is No Scaling.

Print range

  1. In Layout Options, do one of the following:

    • Swipe right until you hear "Print Active Sheet," and double-tap the screen.

    • Swipe right until you hear: "Print Entire Workbook," and double-tap the screen.

    • Swipe right until you hear: "Print Selection," and double-tap the screen.

    Note: The default setting is Print Active Sheet.

Print your workbook

  1. Verify that your Android device and printer are connected to the same wireless network.

  2. In an Excel for Android workbook, swipe right until you hear "Open button," and then double-tap the screen to open the Places menu.

  3. Swipe right until you hear the location of the Excel file you want to print, and double-tap the screen to open the location. Then swipe right until you hear the name of the Excel file you want to print, and double-tap the screen to open the file.

  4. Drag a finger around the upper left corner of the screen until you hear: "File." Double-tap the screen to open the File menu.

  5. Swipe right until you hear "Print," and double-tap the screen to open the Print Options menu.

  6. Swipe right until you hear "What to Print," then swipe right once more. You hear: "Drop Down List Active Sheet." Double-tap the screen, and swipe right to choose to print the Active Sheet, Entire Workbook¸ or Selection. Double-tap the screen to confirm your selection.

  7. Swipe right until you hear "Print button," and then double-tap the screen to print the document.

    Note: You may have to swipe right until you hear "Print button" one more time in the printer connection app to complete the printing.

Print settings

Note: Available print settings vary depending on the features of your printer and Android device.

  1. In an Excel for Android worksheet, drag a finger around the upper left corner of the screen until you hear: "File." Double-tap the screen to open the File menu.

  2. Swipe right until you hear "Print," and double-tap the screen to open the Print Options menu.

  3. To select the scaling option you want, swipe right until you hear "Scaling," then swipe right once more. You hear: "Drop down list No Scaling." Double-tap the screen to change the scaling. Swipe right until you hear the desired scaling option, and then double-tap the screen to confirm your selection.

  4. To select the paper size you want, swipe right until you hear "Paper Size," then swipe right once more. You hear: "Drop down list Letter." Double-tap the screen to change the paper size. Swipe right until you hear the desired paper size, and then double-tap the screen to confirm your selection.

  5. To select the page orientation you want, swipe right until you hear "Orientation," then swipe right once more. You hear: "Drop down list Portrait." Double-tap the screen to change the orientation. Swipe right until you hear the desired orientation setting, and then double-tap the screen to confirm your selection.

  6. Swipe right until you hear "Print button," and then double-tap the screen to print the document.

    Note: You may have to swipe right until you hear "Print button" one more time in the printer connection app to complete the printing.

Use Excel with your keyboard and a screen reader such as Narrator, the built-in Windows screen reader, or JAWS to print an Excel workbook.

Print your workbook

  1. Select the data you want to print, then press Ctrl+P. The Print frame opens with the focus on the Print button, and you hear: "Backstage View, Print group box, Print button." With Narrator, you only hear: "Print button."

  2. To specify the number of copies to print, press Alt+P, N. You hear: "Copies colon edit spin box." With Narrator, you hear: "Copies, editing 1." In the Copies spin control, type the number of copies you want to print, or use the Up arrow key to change the number of copies. Press Enter to confirm your choice.

  3. To select a printer, press Alt+P, I. You hear the name of the selected printer. Use the Up and Down arrow keys to move through the list of printers. With Narrator, you hear "Select name of printer," the number of the selected printer, and the total number of printers available.

  4. If you don't hear the name of the printer you want to use, press the Down arrow key to cycle through the listed printer options. After the list of printer options, you find the Add Printer link and then the Print to File option.

  5. Press Enter when you hear "Add Printer" to open the Find Printers dialog box, and use the Tab key to navigate. Press Spacebar when you hear "Print to File" to select this option. When you select the Print button, a File Explorer dialog box opens, asking you to enter a file name.

  6. Press the Tab key to move to the Settings group. Choose the settings you want. For more information about the available options, refer to Print settings.

  7. Press Alt+P, P to move to the Print button, and then press Spacebar to print your workbook.

Print settings

In the Settings group, you can specify settings for the following options when printing.

What to print

To choose between printing only the active sheets in the workbook, the entire workbook, or the current selection, press Alt+P, A. You hear: "Print What, (the selected option), editable combo box." Press Enter, then use the Up and Down arrow keys to select what you want to print.

To ignore a pre-defined print area in your workbook, use the Down arrow key to scroll through the Print What options until you hear: "Ignore print area, uncheck menu item." Press Spacebar to check the Ignore Print Area option.

Page range

To set a page range to print, press Alt+P, H for the first page spin box, or press Alt+P, J for the last page spin box. You hear: "Pages, editing."

  • In the first page box, type the page number of the first page you want to print, or use the Up arrow key to set the page number.

  • In the last page box, type the page number of the last page you want to print or use the Up arrow key to set the page number.

Single-sided or double-sided printing

To set single-sided or double-sided printing, press Alt+P, D. You hear: "Print one sided, 1 of 3." In the Print One-Sided list, select the option you want. If you select double-sided printing, you hear "Print on both sides."

Note: This option is only available if your printer supports double-sided printing.

Collation and stapling

To set collation, press Alt+P, C. Then use the Up and Down arrow keys to select Collated (you hear "Collated, 1 of 2") or Uncollated (you hear "Uncollated"), then press Enter.

Note: The collating option is only available if your printer supports it.

To set stapling, press the Tab key to move to the Stapling combo box, and use the Up and Down arrow keys to select No StaplesOne Staple, or Two Staples.

Note: The stapling option is only available if your printer supports it.

Page orientation

To set the page orientation, press Alt+P, O. You hear: "Orientation." Use the Up and Down arrow keys to select Portrait Orientation (you hear "Portrait Orientation") or Landscape Orientation (you hear "Landscape Orientation").

Page size

To set the page size, press Alt+P, L. You hear: "Page size." Use the Up and Down arrow keys to select the right page size. You hear the page dimensions or paper size for each size available on the list.

Page margins

To set page margins, press Alt+P. To set a custom margin size, use the Down arrow key to browse through all the margin options. After the list of margins, you reach the Custom Margins link. Press Enter to select the link. You hear: "Margins." Use the Up and Down arrow keys to select Normal Margins (you hear "Normal Margins"), Narrow Margins (you hear "Narrow Margins"), or Wide Margins (you hear "Wide Margins.")

Page scaling

To set the page scaling, press Alt+P, S. You hear: "Scale to Fit." Use the Up and Down arrow keys to select the page scaling you want.

  • When you use Excel Online, we recommend that you use Microsoft Edge as your web browser. Because Excel Online runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you'll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not Excel Online.

Print your workbook

  1. In an Excel Online workbook, press Alt+Windows logo key to reveal the ribbon. You hear: "Selected, home tab item." Press F, P, P to open the Excel OnlinePrint Settings dialog box. You hear: "Dialog print settings, focus on selected, active sheet, radio button."

  2. Choose the Excel Online print settings you want, as detailed in Excel Online print settings, then press the Tab key until you hear: "Print button." Press Enter to open the Print dialog box. You hear "Print dialog, printer," followed by your currently selected printer.

  3. Choose the Microsoft Edge print settings you want, as detailed in Microsoft Edge print settings, then press the Tab key until you hear: "Print button." Press Enter to print your workbook.

Excel Online print settings

What to print

When you open the Excel OnlinePrint Settings dialog box, you hear: "Dialog print settings, focus on selected, active sheet, radio button." To print the active sheet, leave Active Sheet selected. Use the arrow keys to change the setting to Entire Workbook or Current Selection. Press the Tab key to move to other settings or to the Print button.

Page orientation

In the Excel OnlinePrint Settings dialog box, press the Tab key until you hear: "Selected, portrait, radio button." Use the arrow keys to toggle the Page Orientation setting between Portrait and Landscape.

Paper size

In the Excel OnlinePrint Settings dialog, press the Tab key until you hear "Select," followed by the name and description of the default or previously selected paper size. For example, you may hear "Select, letter, 8.5 x 11, editable combo box." Use the Up and Down arrow keys to scroll through the available paper sizes until you hear the size you want. Press the Tab key to navigate to other settings or the Print button.

Page scaling

In the Excel OnlinePrint Settings dialog box, press the Tab key until you hear: "No scaling, no scaling, editable combo box." Use the Up and Down arrow keys to select between No Scaling, Fit Sheet on One Page, Fit All Columns on One Page, and Fit All Rows on One Page. After selecting the scaling option you want, press the Tab key to move to other settings in the Print Settings dialog box.

Microsoft Edge print settings

To open the Microsoft EdgePrintdialog, select the Print button in the Excel OnlinePrint Settings dialog, or press Ctrl+P in your Excel Online workbook.

Note: The print settings shown in the Microsoft EdgePrint dialog are based on the currently selected printer. Depending on your printer model, some of the settings below may not be available.

Printer selection

When you initially reach the Microsoft EdgePrint dialog, you hear "Print dialog, printer," followed by your currently selected printer. Use the Up and Down arrow keys to change the selected printer. You hear the name of each printer as you scroll through the list, and the other settings available in the Microsoft EdgePrint dialog change with each printer selected.

Page orientation

Press the Tab key to move to the Orientation drop-down list. You hear: "Orientation, portrait, combo box." Press the Down arrow to change to Landscape. You hear: "Landscape." Press the Tab key to move to other settings in the dialog.

Note: Orientation can also be set in the Excel OnlinePrint Settings dialog, as detailed in Excel Online print settings.

Number of copies to print

Press the Tab key to move to the Copies field. You hear: "Copies, editing, 1." Type in the number of copies you want to print.

Pages to print

Press the Tab key to move to the Pages combo box. You hear "Pages," followed by the current selection, and "combo box." Use the Up and Down arrow keys to choose between All, Current Page, and Page Range. If you select Page Range, the Range field appears. Press the Tab key. You hear "Page range, editing." Type the page range you want to print.

Page scaling

Press the Tab key to move to the Scale combo box. You hear "Scale," followed by the current selection, and "combo box." Use the Up and Down arrow keys to choose either Shrink to Fit or a scaling percentage.

Page margins

Press the Tab key until you hear "Margins," followed by the current selection, and "combo box." Use the Up and Down arrow keys to choose between Normal, Narrow, Moderate and Wide to set the margins. You hear the name of each setting as it is selected.

Headers and footers

Press the Tab key until you hear "Headers and footers," followed by the current selection, and "combo box." Use the Up and Down arrow keys to select Off to not print headers and footers, or On to print headers and footers.
