Privacy supplement for Microsoft Lync 2010 for Nokia

This page is a supplement to the Privacy Statement for Microsoft Lync Products. In order to understand the data collection and use practices relevant for a particular Microsoft Lync product or service, you should read both the Privacy statement for Microsoft Lync products and this supplement.

This privacy supplement addresses the deployment and use of Microsoft Lync 2010 for Nokia on your enterprise's mobile devices. If you are using Microsoft Lync Server 2010 communications software as a service (in other words, if a third party [for example, Microsoft] is hosting the servers upon which the software runs), information will be transmitted to that third party. To learn more about the use of data that is transmitted from your enterprise to that third party, consult your enterprise administrator or your service provider.

Activation Reporting

What This Feature Does: During initial setup and configuration of Lync 2010 for Nokia, certain hardware-specific and software-specific data is collected and sent to Nokia for the purpose of reporting successful configuration.

Information Collected, Processed, or Transmitted: No personally identifiable information is collected during this process. No information is sent to Microsoft.

Use of Information: The data collected during the Activation Reporting process is used by Nokia to get a report of successful configuration of the software. For details about the Nokia Privacy Policy, see the Nokia Privacy Policy.

Choice/Control: Not applicable.

Call Delegation (Call Forwarding)

What This Feature Does: Call Delegation allows you to assign one or more delegate(s) and then have your delegate(s) place and answer calls and set up and join online meetings on your behalf. If you are using Call Delegation from your mobile device, you can select only delegates that you have pre-defined on your Microsoft Lync 2010 desktop client.

Information Collected, Processed, or Transmitted: When your delegate(s) answer a call on your behalf, you receive an email informing you about this event. No information is sent to Microsoft.

Use of Information: You can use this feature to work with your delegate(s) to manage your schedule and meetings, follow-up with your delegates about calls they make and answer for you (or on your behalf), or do both.

Choice/Control: Call Delegation is turned off by default. You can enable or disable it by using the following steps:

  1. In Lync for Nokia, from the Contacts list page options menu, tap Settings.

  2. On the Voice tab, toggle Call Forwarding to ON.

  3. Tap Forward my calls to, and then select My Delegates in the drop-down box.

  4. On the bottom toolbar, tap Save.

Client-Side Logging

What This Feature Does: Client-Side Logging enables you to log your Lync usage information on your device, in your user profile. The information can be used for troubleshooting any issues you might experience with the Lync for Nokia software.

Information Collected, Processed, or Transmitted: When Client-Side Logging is enabled, information such as the following is stored on your device: device ID, user alias and domain, Presence data, message details, logon history, Contacts list, and client configuration data, such as call forwarding rules, status, and notes. The contents of your Lync 2010 conversations are not stored. No information is automatically sent to Microsoft, but you can choose to manually send this information.

Use of Information: You can use Client-Side Logging to troubleshoot any issues you might experience while using Lync for Nokia.

Choice/Control: Client-Side Logging is turned off by default. You can enable or disable it by using the following steps:

  1. In Lync for Nokia, on the Contacts list page options menu, tap Settings.

  2. On the Preferences tab, select or clear the Enable logging check box.

  3. On the bottom toolbar, tap Save.

Contact Card

What This Feature Does: The Contact Card collects static and dynamic information about other people in your enterprise and displays that information in Lync and for contacts in recent versions of the Microsoft Outlook messaging and collaboration client. The Contact Card provides one-click actions for sending an email, making a call, sending an instant message, and sending SMS (text) messages (SMS capability is not available in the Lync desktop client).

Information Collected, Processed, or Transmitted: The static information on the Contact Card is collected from the enterprise's corporate directory (such as Active Directory Domain Services) and is shared with others through Lync Server 2010. The dynamic information that is collected, such as phone numbers and Presence, may be entered by you and then shared with others. No information is sent to Microsoft.

Use of Information: The Contact Card information is displayed so that you can share your contact information with others.

Choice/Control: Contacts can be managed from both the Lync desktop client and Lync for Nokia. You can manage contacts in Lync for Nokia by using the following steps:

To add a contact

  1. From the Contacts List tab on the Lync main screen, tap Search.

  2. In the Search text box, type the name of the contact.

  3. From the search results, select the contact you want to add, and then tap the Options menu.

  4. Tap Add Contact, and then tap the contact group to add the contact to.

To remove a contact

  1. From the Contacts List tab on the Lync main screen, tap the contact group of the contact.

  2. Tap the contact you want to delete.

  3. Tap the Options menu, and then tap Remove Contact.

Emergency Services (9-1-1)

Important:  We recommend that you DO NOT use Lync for Nokia to contact Emergency Services (such as 9-1-1 in the United States). Lync for Nokia DOES NOT have the ability to determine your actual physical location; therefore, if you use Lync for Nokia to contact emergency services providers, the providers will NOT be able to determine your location. To contact emergency services providers from your device, close Lync for Nokia, and use your device's dial pad.

Personal Picture

What This Feature Does: Personal Picture displays your picture and pictures of other people in your enterprise.

Information Collected, Processed, or Transmitted: Your Personal Picture sharing preference is collected for both displaying pictures and sharing your picture. Only photos stored in Active Directory can be displayed in Lync for Nokia. No information is sent to Microsoft.

Use of Information: The information is used to customize your experience and to share your picture with others.

Choice/Control: Personal Picture settings are managed from the Lync desktop client.

Presence and Contact Information

What This Feature Does: Presence and Contact Information allows you to access information published about other users (both inside and outside your organization) and provides other users with access to information published about you, such as your Presence status, title, phone number, location, and notes. Your administrator can also configure integration with Outlook and Exchange Server so that you display out-of-office messages and other status information (for example, when you have a meeting scheduled in your Outlook calendar).

Information Collected, Processed, or Transmitted: You use your sign-in address and a password to connect to Lync Server. You and your administrator can publish information about your Presence status and Contact Information that is associated with your sign in. No information is sent to Microsoft.

Use of Information: Other Lync users and programs can access your Presence and Contact Information to determine your published status and information so as to better communicate with you.

Choice/Control: Presence and Contact Information settings are managed from the Lync desktop client.

Privacy Mode

What This Feature Does: Privacy Mode is a setting that allows you to share your Presence status (such as Available, Busy, Do Not Disturb, and so on) only with contacts listed in your Contacts list.

Information Collected, Processed, or Transmitted: Enabling Privacy Mode causes Lync to enter a mode in which you can switch user settings so that your Presence information is shared only with contacts in your Contacts list. No information is sent to Microsoft.

Use of Information: The setting of this mode determines how Presence data is shared.

Choice/Control: Privacy Mode is enabled and disabled by your enterprise administrator. If Privacy Mode has been enabled, it is managed from the Lync desktop client.

Send As Email

What This Feature Does: Send as Email allows you to send your Lync 2010 for Nokia instant message conversation history, which is stored locally on your device, as an attachment to a user designated email address.

Information Collected, Processed, or Transmitted: All incoming and outgoing content in instant message conversations are stored locally on the device in isolated storage indefinitely unless 1) the user deletes the conversation, 2) the user uninstalls the application, or 3) a new user signs in on the same device. Instant message history sent using the Send as Email feature is delivered in the form of an email to the user's email address. No information is sent to Microsoft.

Use of Information: Users can send their instant message conversation history as an email attachment to their designated email address making instant message conversations available outside the device for purposes such as archiving or sharing.

Choice/Control: Conversation history is stored on the device automatically. There is no way to disable this feature. Conversation history can be deleted as follows:

  1. In the Conversations tab, tap the End Conversations button in the bottom toolbar.

  2. Select the checkboxes for the conversations you want to delete.

  3. Tap the End button in the toolbar.

Conversation history can be sent using the following steps:

  1. In the Conversation Window, tap the Options menu.

  2. From the menu, select Send as Email.

Send Location

What this feature does: This feature integrates with Nokia Maps to determine your location.

Information collected, processed or transmitted: Depending on your selected positioning methods, your device may contact Nokia in order to establish your position. This information is processed in anonymous manner. For more information, please see Nokia Privacy Policy for Map Apps.

Use of information: The data collected by the Send Location feature is used by Nokia Maps to provide you with faster and more accurate location data.

Unified Contact Store

What This Feature Does: The Unified Contact Store consists of three main features; only the following feature is available in Lync for Nokia:

  • Search Merge    Search Merge merges your global address list (GAL) with your Lync contacts so that when you search for a contact, there is only a single entry in the search results.

Information Collected, Processed, or Transmitted: Lync for Nokia aggregates contact information from Outlook, Active Directory, and Presence. This information is used internally by Lync for Nokia.

Use of Information: Contact information from Outlook, Active Directory, and Presence is shown in the Lync for Nokia user interface.

Choice/Control: Unified Contact Store settings are managed from the Lync desktop client.
