The keyboard shortcuts described in this article refer to the U.S. keyboard layout. The layout of the keys on other keyboards may not correspond exactly to the keys on a U.S. keyboard.

Getting to Mail, Calendar, People, and Tasks

You can get to different features and functions ofOutlook by using standard commands and buttons on navigation bars, or you can use a vast array of keyboard shortcuts. We've broken down the keyboard shortcuts by area for your convenience.

Miscellaneous keyboard shortcuts

You can use a combination of keys to navigate the items at the top of the Outlook Web App window.

  • Use the Right Arrow and the Left Arrow keys to move among Mail, Calendar, People, and Tasks.

  • Use the Tab key to move to your information, Options, Search, and Help.

  • Use Enter to go to an area that you highlighted by selecting it.

Press the Esc key to close any open form or dialog box. If you do this, however, any information you add to the form or dialog box might not be saved.

General movement keyboard shortcuts

Whether you're working in a mail folder or with your list of email messages, there are common keyboard shortcuts to help you move through the content.

Now that you've mastered the basic movement keys, here are keyboard shortcuts that can help you perform some basic actions.

Create new item of the same type as the current folder.

  • Ctrl+Shift+K to create new task.

  • Ctrl+Shift+M to create new email.

  • Ctrl+Shift+A to create new appointment.

  • Ctrl+Shift+Q to create new meeting.

  • Ctrl+Shift+C to create new contact.

E

Create Archive folder if one isn't set up already. Then move emails to the Archive folder as you press E on selected messages.

Alt+Q or Ctrl+E or Ctrl+Alt+A or F3

Go to search box.

Ctrl+F6

Move from one region to another; this is top-level navigation.

Notes: 

  • When you reach the region you want, use the arrow keys to navigate to the item you want, and then press Enter to act on that item.

  • In Mail, Ctrl+F6 cycles through the top navigation bar, personal status, new items, folders, and reading pane.

Context menu key

Right-click equivalent to select an option. On Windows-compatible keyboards, the key is located to the right of the spacebar.

Enter

Select message, calendar item, contact, or task and open highlighted option in a new window.

F9

Send/Receive messages.

More options

  • Ctrl+Alt+S to define Send/Receive groups.

  • Ctrl+M to start a send/receive.

  • Shift+F9 to start a send/receive for the current folder, retrieving full items (header, item, and any attachments).

Text editing keyboard shortcuts

You'll find the text editing keyboard shortcuts available in Outlook are the same as those available with other Microsoft products.

Backspace

Delete selection or characters to the left of the cursor.

Delete the word to the left of the cursor, but not the space before the word.

Ctrl+V

Paste content of the Clipboard into the current location.

Ctrl+Y

Repeat most recent action.

Ctrl+Z

Reverse most recent action.

Insert

Switch between inserting and overwriting text.

Text formatting keyboard shortcuts

You might be familiar with the text formatting keyboard shortcuts you can use in Outlook. Microsoft has standardized the text formatting keyboard shortcuts in many Microsoft products.

Here are keyboard shortcuts that can be used to perform the same action regardless of whether you're working in a message list or a reading list.

Apply default flag to the selected conversation or message without opening the flag menu.

Note: If the conversation or message is already flagged, Insert marks the conversation or message as Complete. This also works when multiple conversations or messages are selected.

Esc

Cancel a search.

Note:  If the context menu is open, Esc will close the context menu but not cancel the search.

Delete or Ctrl+D

Delete selected message or item.

Ctrl+Q or Q

Mark selected conversation or message as read.

Ctrl+U or U

Mark selected conversation or message as unread.

Shift+Deleteor Shift+D

Permanently delete selected message or item.

Message list keyboard shortcuts

Keyboard shortcuts often use the same key names or the same combination of keys. But how the actions that are performed can differ based on the area you are working in. The keyboard shortcuts identified next are used with a message list.

Cancel a search.

Note: If the context menu is open, Esc will close the context menu but not cancel the search.

Shift+Down Arrow

Select current and next message in the list. Use to select multiple, contiguous messages.

Shift+Up Arrow

Select current and previous messages in the list. Use to select multiple, contiguous messages.

Home or Ctrl+Home

Select first message in the folder.

Page down

Select first message on the next page for message lists of two or more pages.

Page up

Select first message on the previous page for message lists of two or more pages.

End or Ctrl+End

Select last message in folder.

Reading list keyboard shortcuts

What action a keyboard shortcut performs can be unique to the area you're working in, despite featuring familiar key names and key combinations. The following gives you keyboard shortcuts used with a reading list.

Go to today.

Ctrl+F6

Move to a different region in the calendar.

Tab

Move to next event or area in the current view.

Shift+Tab

Move to previous event or area in the current view.

Enter

Open selected item.

Switch to day view.

Switch to full week view.
