Map fields in Business Contact Manager

Map fields in Business Contact Manager

When you import data from another application into Business Contact Manager for Outlook, your data may be categorized in different fields than the fields used in the Business Contact Manager database. In order to import your data correctly, you must mark which field in the imported file matches a corresponding field in Business Contact Manager for Outlook. This process is called mapping.

Tip: Before you import a data file, we recommend that you compare its fields against the fields in an Account or Business Contactrecord, and arrange it accordingly to match the fields. For example, do not include the city and state in the Business address field; create them as two values so you can map the Business address, City, and State fields separately.

From      Drag a value from the Value list to the field you want to map it to, in the Field list. After you map a value, a check mark appears next to that value in the Value list and the value name appears next to the mapped field name in the Field list.

To      Drag an item from the Field list to the value in the Value list that it is mapped from, to remove the mapping for that field.

Auto Map      Click this button to let Business Contact Manager for Outlook automatically map the fields.

Clear map      Click this button to clear all of the mappings from the source values to the destination fields.

Use Previous Map      After a file has been imported, the fields that you mapped are saved. Click this button to use the previous mappings if you are using a file with the same name and same fields.

Tip

You can map data without dragging and dropping it by selecting a value in the Value list, pressing CTRL+L, selecting the destination field in the Field list, and then pressing CTRL+L again.

Click Map to New Field to map your data to new user-defined fields or to map to other existing or user-defined types of fields.

Note: This page is part of the Business Data Import and Export wizard in Business Contact Manager for Outlook. To access this wizard, on the File menu, point to Import and Export, and then click Business Contact Manager for Outlook.
