How many forms can I create?

You can create up to 200 single forms.
If you belong to a team, you and the people on your team can create up to 200 forms, which will show up in the Group forms tab of your forms.office.com portal page.
Note: The 200 forms you and your team can create are in addition to the 200 single forms you can create as an individual.

A response is defined as a response to an entire form, itself, and not the individual questions within the form. When a respondent completes a form and submits it, this counts as one response. For example, if a form contains 10 questions and all of the questions are answered by 5 respondents, the form will count as having 5 responses.

If you require more responses, we recommend exporting existing responses to an Excel workbook, and then clearing these from your survey or quiz. This will enable you to collect more responses once cleared.
Note: If your quiz has over 2,000 responses and you export those responses to an Excel workbook, the workbook won't include columns for points assigned or comments added to questions.

How do I delete a form?
If you have a form in Microsoft Forms you don't need anymore, you can get rid of it. Learn more.
Note: Each Forms user can create up to 200 single forms, which include those in the recycle bin. (For example, 150 forms in the Microsoft Forms portal + 50 forms in the recycle bin = 200 forms.
How do I export my form responses?
In Microsoft Forms on the Responses tab, click Open in Excel. Your form responses will open in an Excel workbook. From Excel, you can export or save your form responses as a PDF file. Learn more about how to save or convert your Excel file to PDF.

If you've created your form in Forms on the Web (https://forms.office.com) and click on Open in Excel, an offline Excel workbook will open that has no relationship or connection to your form.

If you've created your form in OneDrive for Business and click on Open in Excel, your Excel workbook is automatically stored in OneDrive for work or school and contains a live data connection to your form. Any new response data in your form will be reflected in your workbook.

How do I know if the data in my Excel workbook is always up to date?
When you create a form in OneDrive, SharePoint Online, Excel for the web, Microsoft Teams, or using the Microsoft Forms web part, you can click Open in Excel to get an Excel workbook (automatically stored on OneDrive for Business or SharePoint Online) that contains a live data connection to your form. Any new response data in your form will be reflected in your workbook.
On occasion, the workbook may not contain the latest data for a number of reasons, such as the accidental deletion of a workbook or file corruption. If this is the case, Forms will provide you with an alert and ask if you want to create a new workbook in order to sync your most recent responses to a new workbook. This new workbook will be stored next to your original workbook on OneDrive for Business or SharePoint Online. This will ensure your data is up to date. Learn more about how to get missing data.
Note: Workbook sync issues will occur if you require content approval for items in SharePoint. To learn more, go to Require approval of items in a site list or library, and then click the section, Specify that items in a library require approval. Review step #4. If you select Yes for the Require content approval for submitted items? option, your workbooks will not sync.
Can I get real-time, updated responses directly in my Excel workbook?
Yes, you don't have to access your form on https://forms.office.com in order to get live updates.
OneDrive, SharePoint Online, Excel for the web, Microsoft Teams, or Microsoft Forms web part
When you create a form in OneDrive, SharePoint Online, Excel for the web, Microsoft Teams, or using the Microsoft Forms web part, you can click Open in Excel to get an Excel workbook (automatically stored on OneDrive for Business or SharePoint Online) that contains a live data connection to your form. Any new response data in your form will be reflected in your workbook.
Microsoft 365 group
When you create a form within your Microsoft 365 group or transfer ownership of a form you create to your Microsoft 365 group, you can directly open the workbook to see real-time, updated responses.
Workflow built with Power Automate
When you create an automated workflow for your form using Power Automate, you can also directly open your workbook to see real-time, updated responses.
How can I ensure the latest updates to my form?
If your form sits idle for too long, your real time connection can break. This means you won't see the most recent updates to your form.
Here are a few scenarios you may run into if you don't have real time connection for your form. In most cases, you can refresh your page to get the latest updates.
Co-authoring
When you're collaborating on a form with co-authors, you may get an error, for example, if you try to edit a question that a co-author has already deleted.
Real time response updates
Without real time connection, you won't see response numbers, charts, graphs, and other details update on the Responses tab of your form. Learn more about checking and sharing form results.
Anti-phishing
If you add a question that is detected as phishing, Forms will notify you with an alert. Without real time connection, you won't see alert notifications and may end up sending out a form that throws errors for your respondents. Learn more about Microsoft Forms and proactive phishing prevention.
How do I transfer ownership of my form?
If you've created a survey, quiz, or poll, you can easily move it to a group so everyone in your group becomes owners of that forms. Learn more.
