Copy or move individual Outlook contacts into Business Contact Manager

After you have installed Business Contact Manager for Outlook, you can continue to keep personal information in Microsoft Outlook, and now you can also keep track of your business information in Business Contact Manager. If you have been using Outlook to store both types of contacts, you can copy or move your business contacts into Business Contact Manager for Outlook.

Tip: To copy all of your Outlook contacts to Business Contact Manager folders, import your Outlook .pst file into Business Contact Manager by using the Import Export wizard. For more information, see Import and export business data in Business Contact Manager.

Copy individual Outlook contacts to Business Contact Manager folders

  1. On the Go menu, click Folder List to display the list of folders in the Navigation Pane.

  2. In the Navigation Pane, under Personal Folders, click Contacts.

  3. Click one or more contacts that you want to copy to Business Contact Manager.

    Note: You can select multiple contacts by pressing the SHIFT key and then clicking adjacent contacts, or by pressing the CTRL key and then clicking contacts that are not next to each other. To select all contacts in the folder, on the Edit menu, click Select All.

  4. On the Edit menu, click Copy to Folder.

  5. In the Copy Items dialog box, under Business Contact Manager, click Accounts or Business Contacts, and then click OK.

  6. Note: Attachments to contacts such as files and business cards are not copied with the contact. If a contact includes attachments, a message that says that the operation is not supported might appear. The contact is copied to the Accounts or Business Contacts folder without the attachments even though the message says that the operation is not supported.

  7. Tip: Use Accounts for companies or organizations you deal with, and use Business Contacts for individuals in those companies or organizations.

Move individual Outlook contacts to Business Contact Manager folders

  1. On the Go menu, click Folder List to display the list of folders in the Navigation Pane.

  2. In the Navigation Pane, under Personal Folders, click Contacts.

  3. Click one or more contacts that you want to move to Business Contact Manager.

    Note: You can select multiple contacts by pressing the SHIFT key and then clicking adjacent contacts, or by pressing the CTRL key and then clicking contacts that are not next to each other. To select all contacts in the folder, on the Edit menu, click Select All.

  4. On the Edit menu, click Move to Folder, and then click Accounts or Business Contacts.

    Note: Attachments to contacts such as files and business cards are not moved with the contact. If a contact includes attachments, a message that says that the operation is not supported might appear. The contact is moved to the Accounts or Business Contacts folder without the attachments even though the message says that the operation is not supported.

    The items are moved to the Accounts or Business Contacts folder and are sorted in alphabetical order by the name shown in the File As field.

Tip: After you have selected one or more contacts, you can also drag them to your Accounts or Business Contacts folder. To copy contacts, press CTRL and then drag them to the correct folder.

Notes: 

  • If you have attached files to the Comments section of the Outlook contact, or if you added notes or content that is more than 4,000 characters, the attachments or notes cannot be copied or moved with the contact. Save the attachments and the content, and then add them as communication history items after you have created your Business Contact.

  • Outlook contacts cannot be linked to Business Contact Manager records. Changes to Outlook contacts are not reflected in Business Contact Manager records.
