Create and print a basic report
You can create and print basic predefined task, resource, and crosstab reports to help present your project data to others. You can change any of these reports to present the information that you want.
Note: Microsoft Office Project 2007 also includes visual reports, which provide rich reporting options using Microsoft Office Excel and Microsoft Office Visio.
What basic reports are available?
Basic reports are divided into six categories in the Reports dialog box (Report menu). The following sections provide descriptions of the reports in each category.
Note: You can modify any of the reports in the Current Activities, Costs, and Assignments categories by changing the task filter or by applying a different table. You can also change the appearance of the text in any of the basic reports.
Overview category
The reports in the Overview category provide you with a high-level understanding of your project.
Name | Description |
Project Summary | Use this overview report to print a summary of the number of tasks and resources, project cost, start and finish dates, and total amount of work. |
Top-Level Tasks | Use this overview report to print a list of the highest-level tasks and summary tasks showing the scheduled start and finish date, duration, percent complete, cost, and work. You can change the content (using tables and task filters), time period (or unit), and details (including notes and objects), and you can sort the data in this report. |
Critical Tasks | Use this overview report to print a list of critical tasks showing the scheduled start and finish dates, and the predecessors and successors of each task. You can change the task filter, or apply a different table, to change the content displayed in this report. |
Milestones | Use this overview report to print a list of milestones sorted by start date. You can change the task filter, or apply a different table, to change the content displayed in this report. |
Working Days | Use this overview report to print a list of working times for each day of a week in the base calendar. |
Current Activities category
The reports in the Current Activities category provide you with the status of your project's tasks.
Name | Description |
Unstarted Tasks | Use this current activities report to print a list of tasks that haven't yet started, their durations, predecessor tasks, start and finish dates, resources, and assignments, all sorted by start date. |
Tasks Starting Soon | Use this current activities report to print a list of tasks starting within a time period that you specify. |
Tasks in Progress | Use this current activities report to print a list of tasks that are currently in progress, showing the months in which the tasks occur. |
Completed Tasks | Use this current activities report to print a list of completed tasks, showing the months in which the tasks occur. |
Should Have Started Tasks | Use this current activities report to print a list of the tasks that should have started by the date that you specify. |
Slipping Tasks | Use this current activities report to print a list of the tasks that have been rescheduled to finish after their baseline finish dates. |
Costs category
The reports in the Costs category help you understand how your project's actual costs compare with the budgeted costs at the project, task, and resource levels.
Name | Description |
Cash Flow | Use this cost report to print a table showing costs per task in weekly increments. You can edit this report and change the time period. |
Budget | Use this cost report to print a list of tasks showing the budgeted cost of each task and the variance between budgeted costs and current costs. |
Overbudget Tasks | Use this cost report to print a list of tasks whose costs exceed the baseline cost. |
Overbudget Resources | Use this cost report to print a list of resources whose costs exceed the baseline cost. |
Earned Value | Use this cost report to print a list of tasks with planned values, earned values, actual costs, and variances, based on the budgeted cost of work performed and the actual cost of work performed. This report helps you gain visibility of how closely your tasks are tracking to the project's budget. |
Assignments category
The reports in the Assignments category provide information on your project's resources and their task assignments.
Name | Description |
Who Does What | Use this assignments report to print a list of resources showing their assigned tasks, the work scheduled for each task, the start and finish dates, and the resource details. You can edit this report and include details such as notes and objects. |
Who Does What When | Use this assignments report to print a list of resources showing their assigned tasks and the daily work scheduled for each task. |
To-do List | Use this assignments report to print a list of tasks with their durations, start and finish dates, and predecessors broken out by week for a resource you specify. |
Overallocated Resources | Use this assignments report to print a list of overallocated resources and the tasks to which they are assigned. |
Workload category
The reports in the Workload category help you to understand resource work amounts throughout your project in weekly increments.
You can change the data displayed in the reports in the Workload category and change the time increments to different time periods. You can also modify these reports by changing the task filter or resource filter.

Task Usage | Use this workload report to print a list of tasks and their assigned resources and the amount of scheduled work in weekly increments. |
Resource Usage | Use this workload report to print a list of resources and their tasks and the amount of scheduled work in weekly increments. |
Custom reports
The reports in the Custom category provide a base for you to develop your own custom basic reports. You can edit the custom reports, or create new custom reports, to meet your reporting needs.
Name | Description |
Resource Usage (material or work) | Use this custom report to print a list of resources showing the tasks to which each resource is assigned and the amount of scheduled work in weekly increments. You can change the data displayed in this report and change the time period. You can change the task filter or resource filter to change the content displayed. |
Base Calendar | Use this custom report to print a table showing the working days, hours of work, and nonworking times for all base calendars in your project. |
Task | Use this custom report to print a custom report showing task information. You can use tables, task filters, and other elements to create a custom task report. |
Resource (material, work, or both) | Use this custom report to print a custom report showing resource information. You can use tables, resource filters, and other elements to create a custom resource report. |
Crosstab | Use this custom report to print a custom tabular report with task and resource information in rows and time increments in columns. You can use task filters or resource filters and other elements to create a custom crosstab report. You may want to use the Task Usage and Resource Usage views for this type of information as well. |
Print a report

On the Report menu, click Reports.

Click the report category that you want, and then click Select.
If you chose Custom as the report category, click a report in the Reports box, and then go to step 5.

Click the report that you want to print, and then click Select.
Alternatively, to customize predefined settings, click Edit, make the necessary changes, click OK, and then click Select.

To change the appearance of your report pages, click Page Setup, make the necessary adjustments, and then click Print Preview to see your changes.

Click Print.
Note: When you choose a custom report, you will not automatically see it displayed in a preview window. To preview the report before printing, click Preview.
